The Assistant Property manager will be responsible for supporting the property manager with a portfolio of condo buildings in and around Downtown Montreal. The Property Manager advises and executes the decisions of the board of directors of the syndicate of co-ownership. He/she manages the day-to-day operations of the building, interacts with the co-owners, and maintenance providers, while overseeing the financial health of the syndicate.



Role, Responsibilities and Activities:



Attend Board meetings and Annual General Assemblies and prepare pre and post-meeting documents (convocation and minutes, etc.) Convert emails and minutes to requests on the syndicate's communication portal Conduct building inspections and convert to maintenance tasks via the syndicate's communication portal Place ad hoc service calls and ensure follow-ups by logging tasks on the syndicate's communication portal Prepare and distribute formal and seasonal notices to ensure building rules are respected. Respond to co-owner requests and ensure response time and approach meets the standards and objectives of the client and Wilkar Property Management. Assist the property manager with the routine financial tasks such as approval of invoices, and allocation of expenses, supporting the collections clerk for any decisions required from the Board. Coordinate seasonal maintenance using the maintenance task manager on the syndicate's communication portal Onsite evaluation of required work, coordination of multiple quotations, evaluation of quotations, selection of contractors, scheduling of work, ensuring work remains on schedule and budget and final approval of work, as required. Read and understand legal and financial documents. Participate in rotation of the emergency response team (The employee will need to be flexible in working hours as emergency situations requiring onsite coordination may occur after regular business hours and weekends).

Desired Qualifications:



At least 1 year of relevant experience in residential property management or construction. Excellent command of the French and English language (oral and written). English is required to respond to requests from English-speaking customers. Relevant experience in the multi-story residential projects, condominium projects and / or construction sites Experience in condominium water damage files Experience in customer service Recognized as a good team player Excels in leadership and communication skills, pro-activity, management of priorities and stress, positive mindset Computer literate Valid driver's license
