Sr Manager, IT Asset Management

Purpose:

The IT Asset Management (ITAM) team is responsible for the management of technology assets, which includes optimizing the value and cost of technology assets while mitigating the risks these assets present to the organization throughout their life. This is done by establishing an effective technology life cycle that spans from technology asset selection, operation, refresh, migration, optimization, all the way through the retirement and disposal of the asset.
The Sr Manager, ITAM Software Financial Management & Reporting, is responsible for the governance of this life cycle and reporting data that is captured throughout the life cycle to improve the management of assets, and the financial implications of these assets, within the organization. The Sr Manager, ITAM Software Financial Management & Reporting will provide an accurate account of all technology asset life cycle costs and risks to maximize the business value of technology strategy, architecture, funding, contractual and sourcing decisions.

Reporting Line This role reports directly to the Director ITAM, within the Office of the CTO, and will collaborate closely with the following stakeholders:

  • Business unit Executives/Managers
  • Program and project management resources
  • Global Risk Management, Internal Audit and Compliance teams
  • Information Security
  • Global Procurement Services
  • Vendor management
  • Finance
  • Enterprise Architecture
  • Global Technology Services (including IT Service Management)
  • Application Portfolio Management
  • Distributed Asset Management teams (including Cloud Asset Management, global affiliates, and third-parties providing Asset Management Services, Software & Hardware Asset Management)

Accountabilities
  • Budget: Management of budget for ITAM tools (e.g. ServiceNow), third-party service providers (e.g. Softchoice) and for centralized budgets for core enterprise software (e.g. IBM, Oracle, etc.)
  • Financial: Oversight of spending on technology asset support, which includes hardware, software, cloud services, support, maintenance and hardware disposal, pricing strategies for IT Assets, intragroup pricing arrangements, and catalogue management
  • Environment: Endpoints and edge devices, software and SaaS vendors, on-premises data center assets, and cloud services
  • Other: Liability management and remediation tracking for compliance exposures and balance sheet provisions

Responsibilities

The Senior Manager, ITAM Software Financial Management & Reporting will:
  • Ensure that appropriate resources (people, tools, services) and processes are in place to gather and analyze data relating to technology asset life cycles and related processes.
  • Develop and promoting effective ITAM strategies, policy, approaches, and practices across the full range of digital technology assets used within the organization.
  • Identify and report on breaches of ITAM policy and track remedial action.
    Report on (or develop reporting on) remediation of digital technology asset-related risks and progress of optimization activity.
  • Ensure accurate and timely reporting, and that data completeness and quality issues are quickly identified and escalated to the responsible data or process owners.
    Gather data on and provide analysis of all activities that have an impact on the value, cost, and risk of digital technology asset life cycles.
  • Provide finance with the data to support the analysis of digital technology asset project and maintenance budgets and business cases, along with charge-out and allocation data.
  • Ensure that ITAM-related tools and services are properly evaluated, selected, implemented, configured, and maintained, with appropriate integration with other sources of organizational data.
  • Supervise the organization’s response to software vendor license compliance audits or license validation requests, in consultation with the relevant vendor and procurement managers, software asset manager and other appointed delegates. and
  • Provide access to technology asset data in support of essential activities required to support the effective running of the business.
  • Develop pricing strategies for software to recover all costs and generate potential revenue to offset unplanned expenses and/or return value to IT&S as savings via repricing

Skills
The Sr. Manager, ITAM Software Financial Management & Reporting must have the following skills:
  • Strong communication skills with a proven ability to understand key business and technical concepts, and then effectively communicate these concepts with technical staff, business stakeholders and senior management
  • Strong organizational skills, the ability to perform under pressure and to manage multiple priorities with competing demands for resources
  • Strong analytical, finance & accounting, data processing and problem-solving skills
  • Proficiency in process formulation and improvement
  • Ability to read, author and interpret contracts (including intragroup agreements) to properly manage all contracted software costs (which includes license, subscription, SaaS and maintenance agreements)

Knowledge
The Sr Manager, ITAM Software Financial Management & Reporting must have in-depth knowledge and experience of the following:
  • Technology asset life cycle (whether digital technology, information, financial or physical assets), best practice governance, tools and services
  • Policy, process, and procedure development and implementation
  • Technology contracts and their likely cost implications through the technology asset life cycle
  • Engagement with sourcing, procurement, vendor management. finance, legal, tax and accountancy advisors for additional information
  • Data processing and analytics
Additionally, an understanding of IT business continuity, cybersecurity, and integrated risk management and optimization methodologies is highly desirable, along with knowledge of IT Business Management.
The following experience is considered essential:
  • Prior ITAM roles (hardware or software) or demonstrable experience of working with IT asset management professionals to deliver ITAM capability and improved business outcomes
  • 5 years of experience with IT, asset management or information management, Finance, or Procurement
  • Experience leading system or tool implementations, with responsibility for verifying capabilities, outputs, dependencies, and implementation scope
  • Experience with ILMT, Big Fix, Tanium, ServiceNow, Coupa, SCCM, and other related tools
    Experience and Certifications
  • The following certifications are considered desirable, but not mandatory:
    • ITIL Foundation certification
    • Certified IT Asset Manager (CITAM)
    • Education and Training
    • An undergraduate or postgraduate degree in finance, IT, engineering, business management or a related field
    • Tertiary qualifications in financial accounting, project management or data analysis
