Employment Opportunity SENIOR EXECUTIVE ASSISTANT
Office of the Archbishop 1155 Yonge St Toronto, ON M4T 1W2 Full time (35 hours per week) Level 11: $47,871 \xe2\x80\x93 $71,806 Overview:
The Office of the Archbishop is seeking a full time Senior Executive Assistant to assist the Archbishop by providing effective and efficient secretarial/administrative support. Responsibilities:

  • Type or prepare for printing from hand-written form (or shorthand as required), daily correspondence, homilies, articles, speeches and reports as required.
  • Type or prepare for printing all highly confidential material.
  • Open and print incoming e-mails; type, print and send all outgoing e-mails from the Archbishop.
  • Screen and direct incoming telephone calls.
  • Arrange and coordinate appointments, invitations, reservations and travel schedules.
  • Notify the Pontifical Master of Ceremonies, and update him as new liturgical invitations are accepted. Maintain and update a six-month Forward Planner. Advise the Director of Communications of events that require his/her attention. Schedule driver if needed.
  • Communicate with the Regional Bishops\xe2\x80\x99 Offices and other Departments, relay messages and share information as necessary
  • Greet all visitors hospitably; arrange for their comfort while visiting the Chancery Office. Set up for meetings (with coffee or lunches) and tidy up afterwards
  • Open and sort incoming mail and prepare outgoing mail after photocopying.
  • Maintain and update the files of the Archbishop\xe2\x80\x99s Office.
  • Prepare Papal Audience requests and advise individuals of response received.
  • Maintain petty cash.
  • Complete special assignments, as requested, such as group luncheons or dinners, occasionally contact hotel staff, or other providers, for meeting rooms and catering.
  • Prepare and distribute agenda for Episcopal Board.
  • Prepare annual schedule of meetings for Episcopal Board and update when necessary.
  • Other duties, as required
General Requirements:
  • Post-secondary level education or equivalent experience.
  • Superior verbal and written English communication skills.
  • Seven to ten years of related experience.
  • Understanding of the Catholic Church, its tenets and culture, and respect for its leadership and parish clergy.
  • Interpersonal skills, tact and diplomacy for dealing with the general public, visitors, high-profile individuals, and staff.
  • Excellent organizational skills.
  • Ability to work independently with little direction.
  • Confidentiality and maturity.
  • A criminal background check will be required of the successful applicant
