Role Overview
The
Case Processing Manager
oversees the end-to-end management of immigration files within the organization. This leadership position is responsible for ensuring all applications are prepared accurately, submitted on schedule, and fully compliant with IRCC and Provincial Nominee Program (PNP) regulations. The role involves supervising the case processing team, maintaining quality control, optimizing operational workflows, and upholding a high standard of client service.
Key Responsibilities1. Immigration Case Management
Supervise the preparation, review, and submission of a wide range of immigration applications, including study permits, work permits, visitor visas, permanent residence, PNP, Express Entry, family sponsorships, LMIA, and related programs.
Examine client documentation to ensure accuracy, completeness, and compliance with regulatory requirements.
Conduct final quality assurance checks prior to submission.
Track updates to IRCC and PNP policies and adjust internal processes as needed.
Manage complex or urgent cases and communicate directly with IRCC, employers, and clients when required.
2. Team Leadership & Workflow Coordination
Lead, supervise, and allocate workloads to Case Processors and Case Assistants.
Provide continuous training, mentoring, and technical guidance on immigration procedures.
Conduct performance evaluations to maintain productivity and quality standards.
Oversee scheduling and ensure all cases are completed within established deadlines.
3. Client Communication & Service Excellence
Act as the primary escalation contact for high-priority or complex client issues.
Ensure clients receive timely, clear, and professional case updates.
Participate in client meetings to explain document requirements, timelines, and next steps.
Maintain strong, professional, and supportive client relationships.
4. Compliance, Documentation & Reporting
Ensure all case files comply with IRCC, PNP, and internal firm standards.
Maintain accurate and up-to-date case notes, checklists, CRM entries, and submission tracking records.
Monitor processing timelines and prepare weekly reports on case status and team performance.
Safeguard client confidentiality and ensure secure handling of sensitive information.
Support internal audits and quality assurance initiatives.
5. Process Improvement & Operational Efficiency
Identify opportunities to enhance workflow efficiency and case processing effectiveness.
Create, update, and maintain SOPs, training manuals, templates, and checklists.
Collaborate with senior management to improve client experience and service delivery.
Recommend systems, tools, or technologies to strengthen case management operations.
6. Additional Duties
Participate in ongoing internal training related to immigration regulations and company policies.
Assist in improving client-facing materials, including FAQs and communication templates.
Support company-organized events, workshops, and virtual seminars as required.
Qualifications
Full professional proficiency in spoken and written English.
Legal authorization to work in Canada (Canadian citizen, permanent resident, or valid work permit holder).
Minimum of 3-5 years of experience in immigration case processing or immigration consulting.
Strong knowledge of IRCC, PNP, and employer-driven immigration programs.
Prior supervisory or mentoring experience is an asset.
Post-secondary education in business, immigration studies, or a related field.
RCIC designation is preferred but not required.
Proficiency with CRM or case management systems, as well as MS Office, SharePoint, and Microsoft Teams.
