Your opportunity:

The Office of the Faculty Registrar works closely with departments and colleges at the University of Toronto, concerning virtually all matters relating to Arts and Science students. Our department members are dedicated to aid all students to the greatest extent, to make their university experience as smooth and seamless as possible. We coordinate personal, financial, and academic counselling, registration and enrolment, student records, transfer credit, petitions, final examinations, and graduation.

Reporting to the Associate Director, Scheduling & Examinations, the Scheduling Officer is responsible for working closely with academic units to set the timetable for effective scheduling and room utilization. The incumbent is responsible for working closely with departments to gain a better understanding of their pedagogical and scheduling needs, collecting and analyzing classroom data and preparing statistical reports regarding enrollment trends and classroom utilization per academic session.

Your responsibilities will include:

  • Probing for information to ensure that scheduling constraints are known
  • Analyzing and documenting room requirements for course delivery
  • Following rules and procedural instructions when packing exam materials based on course sections
  • Keeping well-informed on University programs, policies and procedures
  • Frequently responding to complaints and using informal negotiation skills to resolve exam related issues
  • Serving as a resource on specific issues to a group of specialists
Essential Qualifications:
  • Bachelor\'s Degree or acceptable combination of equivalent experience.
  • Minimum four (4) years experience in a University or post-secondary environment,preferably in a Registrar\'s office.
  • Experience with scheduling processes, manipulation of data, working with databases and statistical analysis is required
  • Demonstrated experience meeting deadlines in a fast-paced, high volume environmen twith a focus on attention to detail
  • Experience running queries, data management and data analysis
  • Experience with SQL is required
  • Accurate data entry and keyboarding skills
  • Proven ability to deal effectively with intricate and varying tasks as well as adaptability tolearn and work with specialized software
  • Ability to analyze data (classroom/seat utilization) and understand the data and results interms of resource needs is required
  • Expertise in the use of MS Excel at an advanced level and experience with Student Information Systems, preferably ROSI is required.
