Your opportunity:

Reporting to the Senior Manager, Caretaking and Waste Management, the Caretaking Manager is responsible for providing timely, efficient caretaking services for all non-residence buildings of the campus during their assigned shift. The position manages Caretaking staff, through supervisory direct reports, and ensures that they are trained and educated on required cleaning processes and use of cleaning products and equipment.

The Manager manages set-ups and take-downs for events, exams, special work orders and requests for work done on their assigned shift. The Manager inspects the condition of buildings and furniture, advising the Senior Manager of items requiring repair or replacement, or of damage due to construction. The Manager responds to community needs and customer concerns and ensures all equipment is in good order, communicating to staff on the day shift when items need repair or replacement. The Manager ensures sufficient and appropriate supplies are on hand to complete the work, and that all work is carried out on time and within budget.

Your responsibilities will include:

  • Monitor the caretaking sections of an online work order system, ensuring that work orders are received, and work carried out promptly. Develop a plan to efficiently monitor conditions of all classrooms within an assigned building.
  • Prepare reports and communicate clearly with the Campus Scheduling Officer (Office of the Registrar) and UTM Furniture Coordinator (FMP) regarding condition of classrooms and classroom furniture.
  • Continually evaluate the range and level of services in the Caretaking portfolio to identify opportunities to improve effectiveness and reduce costs.
  • Under the direction of the Senior Manager, work with Lead Hands to implement UTM caretaking standards and processes to ensure consistency of operation.
  • Regularly inspect buildings to ensure they meet the established standards of cleanliness and quality.
  • Work with Lead Hands to address shortcomings in their area, i.e., areas that do not meet standards.
  • Consult with Lead Hands and staff to identify and address scheduled and unscheduled cleaning requirements.
  • Develop a system to efficiently monitor condition of building finishes within an assigned building.
  • Observe, record and report to the Senior Manager any issues arising from projects underway, including those done by other departments or external contractors (e.g., missing tiles, damage to floor finishes, etc.).
  • Monitor operating expenses to determine if work processes or resource allocations need to be modified to meet budget.
  • Ensure that workplace health and safety standards are maintained.
  • Enforce WHMIS and OHSA regulations, and ensure all staff are trained in and follow procedures.
  • Provide training and ongoing mentoring to Lead Hands and staff.
  • Keep current on new procedures and work methods, and integrate new methods into current work process, ensuring any health, safety and ergonomic concerns are addressed.
  • Review training programs for new employees and skills development programs for current employees to ensure continued effectiveness and the use of best practices.
  • Guides department staff by providing the necessary direction and training to complete department/project work, based on knowledge of department procedures and specialized expertise.
  • Manages staff to ensure work tasks are completed on schedule and standards and policies are followed.
  • Hires staff based on assessment of candidates and understanding of department's needs
  • Discusses performance with employees to provide feedback and address performance related issues as part of the employee development process.
  • Involved with informal complaints and step 1 - 3 grievances from unionized staff, required to liaise with employees, Human Resources and Labour Relations.
  • Provide leadership to department that meets University expectations and commitments including ensuring the workplace is safe and harassment.
Qualifications:

Essential Qualifications:
  • Post-secondary degree or certificate in a relevant field or equivalent combination of education and experience. BOMA (Building Owners and Managers' Association) designation an asset. Excellent understanding of Occupational Health and Safety Act.
  • Minimum of five years in providing caretaking services demonstrating progressively increasing level of responsibility in staff management. Demonstrated experience managing a large workforce in a unionized environment. Demonstrated experience interpreting and applying collective agreements.
  • Experience with monitoring budgets.
  • Excellent oral and written communication skills.
  • Demonstrated leadership abilities and ability to motivate staff.
  • Excellent customer service skills.
  • Working knowledge of Outlook, Word and Excel.
  • Working knowledge of cleaning equipment and machinery such as vertical lifts, auto scrubbers, power cleaning equipment (for training and safety demonstrations).
  • Sound knowledge of hazardous chemicals (WHMIS) regulations.
  • Ability to work effectively under the pressure of multiple demands.
  • Attained or working towards a Class "G" driver's license.
Assets (Nonessential):
  • Familiarity with electronic inspection systems

Sundays- 9:00am to 5.15pm; Mondays- 3:00pm to 11.15pm; Tuesdays, Wednesdays & Thursdays- 11:00pm to 7.15am; Fridays & Saturdays- OFF
