Job Description

As the 'face' of the company, the front desk administrator plays one of the most important roles in a real estate brokerage. The individual will be central in assisting registrants with uploading listings, managing appointments and messages, as well as the receipt and distribution of incoming time sensitive paperwork. Necessary qualities for this position include a welcoming, pleasant and professional demeanor, the ability to work effectively and efficiently in high pressure situations, the ability to organize and prioritize tasks effectively, communicate clearly, promote a positive work environment, the ability to lead and delegate jobs effectively, take direction well, independent work ethic, consistency and reliability.Role and ResponsibilityThe front desk administrator ensures that all administrative operations are performed in accordance to brokerage goals and standards within a branch, with special emphasis to listings, general office upkeep and administrative duties.

  • Reception duties - answer telephones, book appointments, confirm appointments and send messages using BrokerBay, greet clients/walk-ins, email/fax receipt and distribution
  • Broker loading - input MLS listings, upload photos, scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into QOC
  • Ensure all received listings are in accordance to office policy
  • Updating of Broker Bay
  • Preparation of deposit receipts for trust cheques
  • Organization and maintenance of filing system
  • Supply Inventory and ordering (general office supplies, coffee & supplies, toner, letterhead)
  • Lead receipt and distribution
  • Key receipt and storage management
  • Reserving & Preparation of boardrooms
  • Opening/closing procedures
  • Ensuring office is kept in a presentable fashion
  • Policy and procedure - adherence and enforcement
  • Any tasks provided to by the Lead Real Estate Administrator
  • Take ownership of the branch and be proactive in maintaining and improving it
Qualifications and Education Requirements
  • Ontario secondary school diploma (or equivalent). Post-secondary Education (preferred)
  • 2+ years experience in a receptionist / administrative assistant role
  • Required: 1+ years experience in a real estate environment, and understanding of the Multiple Listing Service and other Real Estate systems
  • Knowledge of general computer software involving word processing, database management and spreadsheets
  • Proficiency in office equipment: computers, fax, voice messaging, telephone systems and data networks
