About the Role
Cedar and Stone is seeking a
Property Management & Administrative Assistant
who can work independently, stay organized, and follow through on tasks until they are fully completed. This is not just a basic administrative role -- we are looking for someone who can step in and take ownership of a wide range of
C, D, and E-level responsibilities
to support our growing property portfolio.
The ideal candidate will be highly organized, detail-oriented, and proactive. You'll be expected to manage not only documents and scheduling, but also play a hands-on role in property operations -- from coordinating turnovers and vendors to running supplies to properties. You will also take the lead in managing our property management software (
Breezeway
), ensuring it is kept accurate, up-to-date, and actively driving the efficiency of our team.
This is a role for someone who thrives on structure, loves checking things off a list, and takes pride in delivering accurate, on-time work.
Key Responsibilities
Administrative & Office Support
Manage and organize documents, spreadsheets, and shared drives in
Google Workspace
Track, schedule, and follow up on ongoing projects to ensure deadlines are met
Draft, edit, and send professional emails and correspondence
Maintain calendars and schedule appointments, meetings, and site visits
Organize digital and physical filing systems
Prepare simple reports and summaries from data provided
Handle other administrative duties as assigned
Property Management Support
Assist with
Airbnb turnover operations
, including:
Preparing and organizing turnover kits (linens, toiletries, supplies)
Delivering kits or supplies to properties as needed
Assisting with laundry and linen management to ensure properties are guest-ready
Support property operations with tasks such as:
Guest or tenant communications
Preparing lease documents and tenant communications
Updating property and maintenance records
Coordinating with vendors, contractors, and service providers
Performing light on-site support tasks (supply restocking, inspections, errands)
Software & Systems Ownership
Serve as the
primary administrator of Breezeway property management software
Input, track, and oversee work orders, turnovers, and task assignments in Breezeway
Monitor and follow up on completion of tasks by cleaners, contractors, and team members
Generate reports from Breezeway to update management on turnovers, property performance, and outstanding work
Ensure property data is accurate, up-to-date, and being used to streamline operations
Delegated Responsibilities
Take ownership of recurring operational tasks (e.g., turnover scheduling, supply organization, vendor follow-up) so management can focus on strategy
Anticipate needs and proactively resolve smaller operational issues before they reach management
Act as a liaison between management, service partners, and team members to keep operations running smoothly
What We're Looking For
Proven administrative or office experience (
property management or real estate experience is a strong asset
)
Strong organizational skills with the ability to prioritize tasks and follow through until completion
Proficiency with
Google Workspace
(Docs, Sheets, Calendar, Drive, Gmail)
Excellent written and verbal communication skills
Ability to work independently without constant supervision
Attention to detail and accuracy in all work
Proactive, problem-solving mindset -- able to find solutions and anticipate needs
Comfortable handling confidential information
Valid driver's license and reliable transportation (to support property visits and supply runs)
