POSITION SUMMARY
The
Property Management Assistant (PMA)
plays a critical support role in the property management lifecycle. Working closely with the Property Manager and Team Lead, the PMA ensures smooth execution of processes from move-in to move-out, including vacancy management, leasing coordination, and property inspections.
This role requires someone who is not only detail-oriented and tech-savvy but also
confident meeting new people
, you'll interact regularly with tenants, owners, and vendors during inspections and property visits. Strong communication and interpersonal skills are key to success.
Property management experience is a plus, but not required. We're looking for an
A Player
with a positive attitude, willingness to learn, and drive to grow.

OBJECTIVES
Respond to all communication from residents and vendors.
Conduct property inspections and interact with residents and investors in person.
Ensure online property advertising is accurate and current.
Maintain and update the vacancy list, follow up with showing agents, collect feedback, and share insights with the team.
Draft Tenancy Agreements and Key Exchange packages.
Process move-in ready inspection reports and maintain Unit Condition Status reports.
Analyze and process move-in and move-out documentation.
Assist in rent collection processes and follow up on warning notices.
Support renewal tracking and documentation.
COMPETENCIES
Strong communication and people skills.
Ability to spot errors in contracts and forms.
Basic knowledge of maintenance (suite turnovers, investor communication).
Strong analytical and problem-solving abilities.
Knowledge of Google Suite (Docs, Sheets, Drive, etc.).
Excellent time management and prioritization skills.
Comfortable learning and using new technology (AI tools, CRMs, etc.).
EXPERIENCE
Property management experience is an asset but
not required
.
1-2 years of customer service, inspections, or administrative support preferred.
Experience coordinating maintenance or logistics is a plus.
Typing speed: Minimum 50 words per minute.
Competitive or high-performance backgrounds (sports, music, martial arts, debate, etc.) are valued.
PHYSICAL REQUIREMENTS
Ability to conduct on-site property inspections and meet clients in person.
Prolonged periods sitting at a desk and working on a computer.
Our office is conveniently located at Waverley & McGillivray in South Winnipeg.
