Property Coordinator (1 Year Contract)

Job Description


Role Summary
The Property Coordinator is responsible for assisting the Property Manager in overseeing the multi-faceted service protocol for all contracts, property management services and provided residential services. The Property Coordinator may be required to conduct duties in support of the Maintenance and Property Services departments as well as provide support as a liaison with the commercial tenants and units.ResponsibilitiesEffective high-level customer service focus through immediate response to homeowner and guest queries
Together with the Property Manager, responsible for the installation, repair, and upkeep of operations of the contracted shared facilities and residential corporations
Assist in creating and maintaining shared facility/residential corporation procedures and ensure compliance
Carry out inspections of all facilities under Property Management responsibility
Responsible for overseeing all repairs and installation activities are completed
Monitor equipment inventory and place orders when necessary
Track expenses and assist in the control of all budgets of Property Management
Manage relationships with contractors and service providers
Assist in providing emergency or unscheduled repairs of equipment, structures, and grounds
Responsible for ensuring code compliance and any relevant legislation
Conduct regular inspections of units, common areas, building exteriors, landscape, etc.
Ensure effective management of loss prevention, risk management, security, maintenance, marketing, landscaping, snow removal, ventilation, heating, cooling and other daily activities
Responsible for administrative tasks including the distribution of relevant documents to homeowners, the production of Status Certificates for unit sales and all Periodic Information Certificates as per the Condominium Act
Document and maintain general logs and report on daily activities
Assist in obtaining quotations, oversee work being performed and review invoices for all services
Assist in the maintaining of heating and air conditioning systems, boilers, pumps, fan units, control panels and air chillers
Assist in maintaining environmental safeguards and alarm systems including fire alarms
Collaborate with Security, Health and Safety team to ensure department specific Health and Safety policies are maintained
Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
Adhere to all environmental policies and programs as required
Other duties as assignedRequirementsEducation or Licensing with the Condominium Management Regulatory Authority of Ontario as per the Condominium Act (CMRAO) considered an asset
At least 2 years' experience in the last five years in a Property Management role with a residential condominium corporation
Have and maintain a valid Ontario driver's licence
Must be computer literate. Preferred candidate will have previous experience with property management software, Microsoft Word, and Excel
Strong verbal and written communications skills
Detail-oriented and works with a high degree of accuracy
Ability to multi-task in a fast-paced environment
Must possess excellent customer service skills
Tarion warranty experience considered a strong asset.
Strong administration skills with Excel, Word, Power Point, etc.Working ConditionsMust be able to work flexible hours including evenings, weekends, and holidays
Required to move, lift, carry, pull, and place objects weighing less than or equal to 30 pounds without assistance
Stand, sit, or walk for an extended period of time or for an entire shift
Reach overhead and below the knees, including bending, twisting, and pulling
Move over sloping, uneven, or slippery surfaces
Significant exposure to varying weather conditions
Will encounter obnoxious smell from wastewater, gasoline, and diesel fuels
Will encounter hazardous materials, dangerous or toxic substances and chemicals
May encounter excessive noise from engines and equipment
Work area is located alongside deep water
