Athletify is a clean and modern 5000 square foot facility in Newmarket housing private treatment rooms, fully equipped gym, golf simulators and more. Our services include physiotherapy, athletic therapy, golf lessons and strength & conditioning. We treat all injuries and physical restrictions.

Patient Experience Coordinator

to be the welcoming face of our clinic and ensure smooth day-to-day operations, both administrative and physical.

Position Overview:



The Patient Experience Coordinator plays a key role in patient satisfaction and clinic efficiency. This position combines administrative duties with light physical tasks, and is ideal for someone who is detail-oriented, people-focused, and takes pride in keeping a clean, well-run space.

Key Responsibilities:



Welcome patients warmly and create a positive, professional first impression. Schedule, confirm, and manage appointments using

Jane App

. Answer phone calls, emails, and respond to patient inquiries. Process billing, insurance claims, and handle point-of-sale transactions. Maintain accurate patient records and ensure confidentiality. Communicate effectively between patients and physiotherapy staff. Assist with general clinic upkeep including: Vacuuming and mopping treatment rooms and common areas. Cleaning and restocking restrooms daily. Sanitizing high-touch surfaces regularly. Support other administrative and operational needs as directed by clinic staff. Completion of mandatory staff training modules in a timely fashion.

Qualifications:



Experience working in a medical, physiotherapy, or similar healthcare setting preferred. Familiarity with

Jane App

is strongly preferred. Proficient in

Microsoft Office Suite

(Word, Excel, Outlook) and

Google Drive.

Knowledge of

medical terminology

is an asset. Strong

computer skills

. Strong interpersonal and communication skills -- both written and verbal. Comfortable with multitasking and managing a fast-paced front desk. Highly organized, reliable, and able to work independently. Willingness to contribute to both administrative and physical clinic tasks.

Job Types: Full-time, Permanent

Pay: $19.00-$21.00 per hour

Expected hours: 25 - 35 per week

Schedule:

Evening shift Monday to Friday

Newmarket, ON L3X 1X4: reliably commute or plan to relocate before starting work (required)
Education:

Bachelor's Degree (preferred)
Experience:

administrative assistant: 2 years (preferred) receptionist: 2 years (preferred)
