Orchestra Operations Coordinator (Orchestra Operations Department)

Some of these include open houses and free concerts at the TSO\xe2\x80\x99s home, Roy Thomson Hall; Relaxed Performances designed to welcome neurodiverse patrons; and a partnership with the Centre for Addiction and Mental Health that supports First Nations, Inuit, and M\xc3\xa9tis patients through musical storytelling and composition.

Reports To: Senior Manager, Orchestra Operations

Status: Permanent Full-time

Salary range: $42,000 - $50,000

Position Summary:

The Orchestra Operations Coordinator supports all aspects of the Orchestra Operations Department and serves as the primary administrative support for the Vice-President and General Manager. This position is responsible for coordinating and facilitating the day-to-day of orchestra operations, including acting as liaison with TSO staff, musicians, RTH and other external venues or partners.

Major Duties and Responsibilities:

Provides general administrative support to the Operations departments, and specific support to both the VP & General Manager and the Senior Manager of Orchestra Operations.

Responsible for assembling, printing, distributing and updating the TSO\xe2\x80\x99s Schedule Book of rehearsals and concerts, including updating the online calendar and OPAS.

Responsible for booking spaces in RTH and other venues for non-concert events including, but not limited to, choir rehearsals, case calls, meetings, and professional development services.

Responsible for booking the piano tuner, as well as accompanists for choir/soloist/conductor meetings and off-site choir rehearsals, as directed by Artistic and Operations Departments.

Assists the Artistic and Education/Community Engagement Departments with various tasks, including artist servicing, drafting artist contracts, and Toronto Symphony Youth Orchestra activities.

Occasional staging and production work for select rehearsals/concerts, when the Production Team is otherwise unavailable.

Additional scope of responsibility:

Supports the Operations department by creating the concert duty schedule, tracking meal allowances, booking department meetings, facilitating the invoice/expense process with Finance, and so on.

Assists the VP & General Manager with various administrative tasks, as well as researching and/or preparing reports for special initiatives.

Assists the Senior Manager of Orchestra Operations with RTH auditorium and off-site hall bookings to ensure accuracy. Assists with logistics for all TSO tours and run-outs, including research and updating budgets. Accompanies the TSO on tour, as required.

Assists the Orchestra Personnel Administrator with the execution of all TSO auditions.

Supports the Communication, Development, and Education & Community Engagement Departments in managing the content of the backstage bulletin board, which provides information and education to musicians on TSO initiatives.

Requirements:

Experience & Qualifications:

Post-secondary degree in a music-related field or art administration

1 year experience in management of musical ensemble and/or event/concert production

Strong competency with G-Suite and Microsoft Office Suite

Strong communication skills and the ability to work collaboratively in a team environment.

Strong organizational, problem-solving skills and high attention to detail.

Ability to attend to a broad range of activities and multi-task while also being able to prioritize effectively.

Knowledge or previous practical experience in at least one of the following: classical music, music industry, concert production.

Working Conditions/Physical Demands:

Work within an office setting during weekday business hours and during orchestra activities; there are frequent evening and weekend hours around concerts and post-concert functions. On occasion remote work is possible outside of orchestra services and some travel may be required to attend off-site rehearsals and performances. The typical work environment is evolving and fast-paced, and may require multitasking or an unexpected/sudden change of prioritization. Extended working hours as a result of evening and weekend work. There will be long periods of intense focus when editing and proofreading. Taking and transcribing minutes/notes from meetings. Long periods of time at the computer reading/answering emails, creating documents, entering information into OPAS.

The TSO requires all employees to provide proof of fully-vaccinated status, with vaccines approved by Health Canada. A person is considered fully-vaccinated if they have completed the required regime for a COVID-19 vaccine and 14 days have passed since their final dose.
