Company: Cool Beer Brewing Co. Position/Title: Office Administrator (Bookkeeping & Accounting) Pay: Salary: 40,000 - 45,000/year Hours: Monday 11am-7pm, Tuesday-Friday 8am-4:00pm Role Overview: We are actively seeking a customer-focused full-time Office Administrator to work at our brewery retail store and office. The focus of this position is a mix of customer service and basic bookkeeping. The hired candidate must be reliable, punctual, and have impeccable attention to detail. This individual will be an integral part of the office team, and thus we are looking for someone with a mature demeanor and who is seeking a long term position. This position works in tandem with all departments of the brewery including sales, marketing, production and maintenance. Responsibilities:

  • Answering phones, monitoring email, responding to customer concerns and inquiries
  • Covering the retail store as required including operating the POS, product sampling, and carrying out cases of beer
  • Liaise with sales reps and key accounts as required
  • Order taking over the phone, email, and via multiple online web portals with accuracy
  • Daily order invoicing via Quickbooks with accuracy
  • Releasing daily orders to delivery drivers in the morning and opening retail store
  • Managing accounts payable and receivable including receiving customer payments, sending statements, making collection calls/emails as required, processing bills and issuing bi weekly cheque runs
  • Create purchase orders and shipping documents, schedule and co-ordinate incoming and outgoing shipments
  • Responsible for submitting monthly government filings (excise duty, beer and wine tax) and assisting CPA as required with annual filings
  • Maintain status of all operating licenses (CRA, AGCO, CVOR, etc)
  • Other basic bookkeeping such as petty cash, generating sales reports, etc.
  • General office tasks such as maintaining files (digital and physical), replenishing office supplies, keeping the office area tidy and organized, handling mail (incoming and outgoing)
Qualifications & Skills:
  • 2+ years experience in an administrative or bookkeeping role
  • 5+ years in a retail or customer service role
  • Post secondary degree or diploma in business administration or accounting an asset
  • Experience with Quickbooks or other accounting software
  • Advanced knowledge of Microsoft Office Suite especially Excel and Outlook
  • MUST be tech savvy and able to learn new software easily, type a minimum 30wpm
  • Smart Serve certified (can be obtained within 2 weeks of start date)
  • Interest in the beer industry and willingness to learn
  • Excellent command of the English language (both written and verbal) and phone etiquette
  • Meticulous attention to detail and superior organizational skills
  • Must be a team player who is self-motivated, has ability to multi-task and excellent time management skills
  • Must have reliable transportation or live locally
  • Must be able to lift 25lbs
Job Type: Full-time Salary: $42,537.00-$45,212.00 per year Schedule:
  • 8 hour shift
