The Physio Space is seeking a warm, organized, and professional
Full Time Receptionist
to join our growing team. This role is essential to the smooth daily operation of our clinic and to creating a welcoming, supportive experience for our clients.
The ideal candidate is friendly, detail-oriented, and comfortable working in a busy healthcare environment. You will be the first point of contact for our clients and play a key role in front-desk operations, scheduling, and administrative support.
This position is perfect for someone who enjoys working with people, thrives in an organized setting, and values professionalism and teamwork.
Key Responsibilities
Front Desk & Client Experience
Greet clients and visitors in a friendly, professional, and welcoming manner
Answer phones promptly and courteously, directing calls and responding to inquiries
Manage client check-in and check-out processes
Support a calm, organized, and positive clinic environment
Scheduling & Administrative Support
Manage appointment scheduling, confirmations, and basic changes using clinic software
Maintain accurate electronic and paper filing systems
Assist with basic administrative tasks as needed to support clinic operations
Support insurance-related processes (e.g., receipts, basic verification) when applicable
Keep schedules organized and flowing for our more than 14 allied health care practitioners.
Clinic Operations
Maintain clinic cleanliness and organization at all times
Complete daily laundry duties, including washing, folding, and restocking clinic linens
Assist with opening and closing procedures
Provide occasional coverage for sick days or short-notice staffing needs for evening or Saturday shifts.
Required Skills & Qualifications
Strong customer service skills with excellent phone etiquette
Clear, friendly, and professional communication skills
Excellent organizational skills and attention to detail
Ability to multitask efficiently in a fast-paced clinic environment
Strong computer skills and ability to learn new systems quickly
Experience with clinic software (e.g., Jane or other EMR systems) is an asset
Proficiency with Microsoft Office (Word, Outlook; Excel an asset)
Clerical or reception experience preferred, particularly in a medical or allied health setting
Reliable, punctual, and professional
