This part-time position is primarily responsible for providing exceptional front-line support to students, staff, and visitors. The role ensures a welcoming and professional environment while delivering outstanding customer service and contributing to a positive college experience for all
Major Accountabilities/Responsibilities
Greet and welcome all students, instructors, clients, and visitors in a warm, professional, and sincere manner, ensuring they feel comfortable and supported.
Answer, screen, and redirect incoming phone calls and emails to the relevant departments or individuals.
Manage the distribution of incoming mail, packages, and faxes to the correct recipients.
Act as a liaison between students and staff, helping facilitate communication and access to services.
Provide general administrative support, including filing, photocopying, scanning, and data entry.
Book, reschedule, and manage client appointments for the student massage clinic using the clinic's scheduling software.
Process client payments accurately, issue receipts, and maintain records of daily transactions.
Assist with balancing the cash register and preparing daily financial reports related to clinic services.
Communicate and collaborate with the Clinic Coordinator to ensure any special client requests or accommodations are addressed.
Support students and instructors during clinic operations by maintaining a smooth flow of clients and addressing any administrative issues that arise.
Maintain cleanliness and organization of the front desk and waiting areas to create a welcoming environment.
Assist with setup and teardown for campus events, workshops, and special activities.
Provide support with student attendance tracking, appointment reminders, and other clerical tasks as needed.
Perform other duties as assigned to support the day-to-day operations of the College and ensure excellent service delivery to all stakeholders.
Education and Experience
High School Diploma or equivalent (required)
Post-secondary education in a related field such as Office Administration, Business Administration, or Customer Service (an asset, but not required)
1-2 years of experience in a customer service or administrative support role, preferably in an educational or office environment
Experience working in a reception/front-desk setting is a strong asset
Familiarity with scheduling software or booking systems (especially in a clinic or service environment)
Experience handling cash and point-of-sale (POS) transactions
Knowledge of computers and relevant software applications (e.g. MS Word, Excel, Outlook)
