We are looking for a friendly, highly organized, and phone-confident
Front Desk Medical Administrator
to become the first point of contact for our patients. This person will be responsible for booking appointments, converting new leads into scheduled visits, and ensuring a seamless flow of communication between patients and our clinic teams nationwide. The ideal candidate thrives in a fast-paced setting, communicates clearly, and brings a strong customer service mindset.
Key Responsibilities:
Answer incoming phone calls and follow up with new patient leads in a timely and professional manner
Manage bookings and appointment schedules across multiple clinic locations using our scheduling software
Follow lead follow-up protocols to increase booking conversion rates
Send appointment confirmations, reminders, and pre-visit instructions via email or phone
Greet and check in patients with warmth and professionalism
Handle rescheduling and cancellations, ensuring all schedule changes are accurately reflected
Collaborate with clinical staff to ensure smooth daily operations and appointment flow
Maintain up-to-date patient records and documentation in our system
Track appointment metrics and contribute to ongoing improvements in efficiency and service
Requirements:
1-3 years of experience in a front desk, medical receptionist, or patient care coordination role (medical aesthetics or healthcare setting preferred)
Comfortable and confident on the phone, with excellent verbal communication skills
Strong time management and multitasking abilities
Tech-savvy and able to learn scheduling and CRM systems quickly
Professional and friendly demeanor in both phone and in-person interactions
Ability to work both independently and collaboratively in a team environment
Excellent attention to detail and strong organizational skills
Reliable, punctual, and patient-centered
