About the role

Canadian Blood Services is looking for a Regular Full-Time Executive Assistant to join our dynamic Diversity, Equity, and Inclusion team. The work of an Executive Assistant is integral to Canadian Blood Services' role as Canada's Lifeline. In this role, you will contribute to the effective daily operation of an executive office by providing diversified administrative support and assistance to the Chief Diversity Officer and team as required.

Key responsibilities include:

  • Prepares correspondence and various documents such as reports, presentations, meeting agenda and minutes by gathering and organizing information from a variety of sources, and selecting appropriate formats and graphics for the presentation of information in accordance with standards, policies, procedures and regulatory requirements, to support the Chief Diversity Officer.
  • Creates and maintains databases, tracking systems, statistical and/or financial tools using spreadsheets and other database applications to produce reports and provide data as required.
  • Organizes and coordinates information, workflow, and office activities, resolves administrative problems, creates new and improves existing processes and procedures, arranges meetings including event logistics and schedules appointments, makes travel arrangements, and assists with special projects and other events to facilitate the smooth operation of the executive's office and the division. May represent the division at meetings and on committees.
  • Regularly deals with the administration of confidential employee data and employee relations matters involving performance issues, restructuring initiatives, budgetary exercises and so on.
  • Performs other related duties as required.
Qualifications:
  • Post-secondary level education, preferably in Office Administration.
  • Minimum of six years of executive level administrative support experience.
  • An equivalent combination of education, training and experience may be considered.
Required skills:
  • In-depth knowledge of office routines and protocol and of corporate programs, policies, and practices.
  • Communication skills to discuss sensitive and highly confidential information requiring tact and discretion and to exchange information in English are essential.
  • Computer literacy is essential, with advanced proficiency in the following software packages desired: MS Word, Excel, and PowerPoint. Working knowledge of SAP is also an asset.
  • Excellent organizational and time management skills to plan and organize concurrent work assignments.
  • Demonstrated initiative to address issues and resolve problems.
  • Exercises independent judgement with minimal supervision.
  • Understanding of project management tools, techniques and processes is an asset.
