We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism while interacting with clients and stakeholders.
Duties
Manage the executive's calendar using Outlook Calendar, scheduling appointments and meetings while ensuring optimal time management.
Serve as the first point of contact for clients and visitors at the front desk, providing excellent customer service.
Prepare and organize documents, ensuring all paperwork is completed accurately and timely.
Handle incoming phone calls, directing inquiries appropriately and taking messages when necessary.
Assist in maintaining office organization by managing supplies, equipment, and administrative tasks.
Utilize CaseWare and TaxPrep for basic financial tracking and reporting.
Support various administrative functions including typing and editing documents, data entry, and clerical duties to enhance office efficiency.
Collaborate with team members on special projects as assigned.
Experience
Proven experience as an Executive Assistant or in other administrative roles is preferred.
Proficiency in Microsoft Office Suite (especially Outlook, Excel, PowerPoint and Word) is required.
Demonstrated proficiency in the English Language is required, as this position requires the ability to edit documents and ensure accuracy with grammar, spelling and punctuation.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Excellent customer service skills with a friendly demeanor when interacting with clients and colleagues.
Familiarity with phone systems and front desk operations is a plus.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
Must be eligible to work in Canada without the requirement for sponsorship.
