Position Summary

The Events and Marketing Associate will provide assistance to the Event Coordinators and Marketing and Promotions Coordinator with respect to the planning and delivery of City and Council led events. Event-related responsibilities include, but are not limited to, administration, marketing and promotions, programming and scheduling, logistics and operations, and post-mortem. In addition, the Events and Marketing Associate will support the division\'s marketing communications presence across a variety of corporate digital and social media platforms and in conjunction with the City\'s social media policy and guidelines and related departments.

Key Duties and Responsibilities

  • Prepare meeting agendas and take minutes; database management; document creation and updating; communication with contractors, suppliers, vendors, and exhibitors; researching interactive programming elements and entertainers; supporting contest delivery; marketing and promotional efforts; risk management tracking; transportation and safety; waste and sanitation management; volunteer orientations; and equipment and supply inventory, ordering, and tracking.
  • Site set up, execution, and tear down, and monitoring; assisting with interactive areas on site; orienting and supervising volunteers, contractors, suppliers, vendors, and entertainers as needed; and supporting with other duties as assigned, including attending events outside of normal working hours.
  • Support statistical analysis and survey efforts, as well as contributing to debrief reports and meetings.
  • Support advertising, promotions, sales, branding, and digital communications; contribute to the annual marketing and promotions plan by establishing a digital strategy for the division that is in line with corporate policy and guidelines; overseeing approved social media channels/accounts; monitoring social media activity and reporting on analytics; and creating relevant content for each platform; assisting with webpage updates; monitoring the effectiveness of digital content; reporting on website activity using Google Analytics; and ensuring compliance with AODA standards; and researching emerging trends in technology, industry approaches, and best practices related to a cross-section of clients participating in Division programs, services, and events.
  • Schedule and prepare for meetings; benchmarking.
  • Update, monitor, summarize, and track information.
  • Prepare presentation decks, contact lists, invitation lists, and equipment lists.
  • Design and distribute collateral materials if needed.
  • Draft social media messaging and assist with related promotional campaigns.
  • Recommend a digital promotion approach and monitor its success annually.
  • Develop and execute a social media strategy for the division.
  • Track and monitor issues raised through social media.
  • Edit various webpages, perform digital audits for the division, and recommend digital content strategies to enhance conversion rates in programs and increase attendees at events.
  • Track and recommend improvements to the annual marketing and promotions plan.
  • Copy write and capture photo/video material for use in social media posts and/or webpages.
  • Scheduling and updating outdoor electronic city signage.
  • Planning, producing, and scheduling graphic video/text content for internal LCD/LED screens throughout City facilities.
  • Providing customer service for event attendees, vendors, entertainers, suppliers, contractors, volunteers, and staff.
  • Contribute to identifying issues that need resolving and providing recommendations related to equipment and event site elements.
  • Assist with the implementation of emergency protocols as required at events.
  • Complete all incident/accident forms in a timely and accurate manner.
  • Adhere to all policies and procedures.
Education and Experience
  • Graduate of a post-secondary program in Event Management, Marketing Communications, or related field.
  • First Aid and CPR Certification is required
  • Minimum 1-2 years related experience in the field of Event Management, Marketing Communications and/or Administration in a Corporate environment.
Required Skills/Knowledge
  • Publishing software education (Microsoft Office)
  • Computer graphic software designation (Adobe Suite - specifically Photoshop and Illustrator)
  • Social media designation (Facebook, Twitter, Instagram and/or other planning/digital engagement tools)
  • Strategic copywriting certification
  • Photography and videography certification
  • Google analytics
  • Valid Ontario Class \xe2\x80\x9cG\xe2\x80\x9d driver\'s license and use of a vehicle for corporate business (mileage compensated).
