DUTIES

The Events and Marketing Support Specialist will plan and manage events from conception through to completion, will provide outstanding customer service, and will organize unique, memorable events that are of the highest quality. They are responsible for assisting staff and faculty in the planning, coordinating, and delivering a wide range of activities, special projects and events for the Faculty of Science. The position works closely with the Faculty on events planning and management, aligning advertising and social media content with TRU\'s Brand, TRU\'s Strategic Priorities and the Faculty\'s strategic goals. The Events and Marketing Support Specialist liaises with a variety of on-campus and relevant off-campus community partners to support the delivery of events, activities, and special projects. This position will also assist units with all web related content surrounding events.

MAJOR DUTIES AND RESPONSIBILITIES:
1. Assists faculty and staff in executing events: organizing and coordinating schedules, booking spaces, hosting visitors, maintaining invitee databases, designing and distributing marketing materials, coordinating with multiple units on campus, outlining and executing marketing plans, setting up sites, preparing gift bags, organizing catering contracts, booking required equipment and ensuring seamless overall event hosting in a variety of venues.
2. Assists in the design, development and delivery of events or special projects.
3. Ensures that project criteria standards and timelines are met within established guidelines.
4. Assists units with website changes to advertise events and update event calendars.
5. Designs, updates and distributes marketing materials.
6. Supports faculty and staff with marketing campaigns and social media activities.
7. Assists faculty and staff in creating, tracking and maintaining repositories for events, marketing and communications.
8. Prepares reports and presentations according to project requirements.
9. Assigns and coordinates some of the work of volunteers, Work Study and/or Coop students.
10. Coordinate some of the work for the Eureka or Cancode funded programs.

QUALIFICATIONS

EDUCATION

  • Bachelor\'s degree
EXPERIENCE
  • Four (4) years\' related experience, including:
o Event planning and execution
o Designing marketing materials and updating the web and social media outlets
o Working with a team
o Coordinating event volunteers and support people.

SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
  • Advanced knowledge of the Event Planning industry.
  • Plans all event aspects including developing a budget for approval, finding speakers, developing and implementing promotional plans, venue planning, food arrangements, arranging AV requirements, entertainment, seating, guest list, sending out invitations and tracking responses.
  • Coordinates and oversees events on the day of, including escorting guest speakers, ensuring donor acknowledgement, problem-solving, welcoming guests, directing event set-up, communicating with staff and volunteers, and ensuring food and venue arrangements are according to plan.
  • Creates a communication plan to connect with students, faculty & staff and the business community via social media related to both the undergraduate and graduate programs.
  • Creates a marketing and advertising plan for every event and implements that plan through social media, print, email and face-to-face.
  • Ability to plan, organize and prioritize work to meet multiple deadlines and project requests.
  • Coordinates and develops staff and volunteer work plans.
  • Secures sponsors and donors with Supervisor\'s approval; Creates and fosters sponsorship opportunities.
  • Experience in brand management; attention to detail.
  • Primary convocation liaison.
  • Proven ability to communicate effectively both orally and in writing for diverse audiences.
  • Conducts post-event evaluations and reports on outcomes.
  • Demonstrated computer literacy skills in MS Office or comparable software, Adobe Suite and desktop publishing skills.
  • Experience with Banner an asset.
  • Ability to work independently within established accountability and timeline guidelines.

The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.

Pay Band

$31.18 - $34.65 ( CUPE Grade 09 (90% - 100%) )

Salary rate

This Position is not subject to a 90% start rate for new Employees.
