Purpose of Position
Reporting to the Development Manager, the Development Coordinator (Events) is responsible for seamless planning and execution of a wide variety of in-person and virtual events that engage Museum members, donors, prospects and stakeholders. They foster excellent cross-departmental relationships within the Museum as well as externally with vendors and partners. They work with the team to conceive of and design compelling events that achieve the Development department's objectives and align with the Museum's mission. They project manage all event logistics and budgets to execute events on time and on budget. They are also responsible pre-event briefs, day-of execution and conduct post-event debriefing and analysis.

Key Responsibilities

  • Identify opportunities to leverage Museum programming to steward patrons and donors.
  • Execute events and programs designed to steward members and donors.
  • Work with the Development department and key members of the Museum to plan and deliver the annual Lapis signature fundraiser.
  • Communicate event sheets and all resource bookings, including internal, third party, and external resources in consultation with the Museum Operations team, in a timely and effective manner.
  • Create and maintain consistent project/event documentation and communication in the Monday.com project management system, updating as needed.
  • Ensure Museum policies and procedures are followed and record-keeping is accurate and timely to maintain financial and data integrity, in collaboration with Finance and Procurement.
  • Collaborate with the Museum Operations teams and supervise event delivery resources for effective day-of execution.
  • Conduct post-event debriefs, event analysis and reporting to assess the ROI and effectiveness of events and provide data for future decisions.
  • Lead systems and process enhancements to incorporate industry best practice and/or improve internal processes.
  • Actively engage in a minimum of one Signature Initiative (SI) team.
  • Any other tasks assigned by the line manager.
Requirements: Qualifications & Experience:
  • University degree or college diploma, ideally in event management or fundraising.
  • Minimum of 4 years progressive experience in events management, preferably in arts and culture.
  • Experience working with visual or performing artists or agents.
  • Demonstrated experience in the design and execution of fundraising and stewardship events, including for major gift donors and VIP guests.
  • Exceptional planning, organization, project management, prioritization, and time-management skills to manage multiple on-going projects simultaneously.
  • Strong analytical and problem-solving skills.
  • Strong interpersonal skills and customer service aptitude with exceptional verbal and written communication skills, demonstrated ability to build positive relationships with guests and stakeholders.
  • Familiarity with fundraising principles.
  • Exceptional skills in MS Office Suite. Experience with donor databases, spreadsheets and presentations.
  • Technical ability and willingness to learn new systems as required for the role.
  • Being inclusive and respectful of diverse populations.
  • Being prepared to work onsite and online, as required by the Museum.
  • Evening and weekend work is required for events - flexible work hours required.
  • Expressed interest in the mandate of the Museum
  • Occasional evening and weekend work at events - flexible work hours needed.
