This position is responsible for supporting the College\'s Facilities Department in multiple areas such as services, operations, and projects with an emphasis on capital project administration and support.
Job Duties/Responsibilities

1. Liaises with the finance and procurement departments regarding procurement, GSA/GGA and financial tracking.
2. Analyzes, tracks, and reports out on capital project expenditures.
3. Provide operational administrative support as required.
4. Conducts system reviews and/or audits for quality improvement purposes.
5. Participates in the regular evaluation of the departmental processes.
6. Participates on various committees and working groups related to Facilities issues.
7. Prepares web requisitions and receives facility and project related invoices in Banner.
8. Oversees and co-ordinates the maintenance of College capital project contracts.
9. Assist with ensuring timely and efficient completion of renovation and/or maintenance projects.
10. Communicates regularly to ensure project progress and addresses the needs of all stakeholders.
11. Liaises with other departments to develop and implement project plans.
12. Updates facility and project related documentation.
13. Assists with all record drawings, specifications, service manuals and warranties, ensuring the documents are properly recorded, stored, and maintained.
14. Participates in meetings, working groups and project committees as necessary.
15. Assists with furniture related requests.
16. Assists with office moves and swing space setups.
17. Prepares/reports VCC\'s Carbon Neutral Government Reporting for B.C\'s Provincial Public Sector.
18. Liaise with Climate Action Secretariat (CNG) and BC Hydro (Energy Management Program).
19. Manages and Implements BC Hydro Energy Wise Network Program (Behavioural Campaign).
20. Manages Facilities Management\'s Special Projects (Spring Cleaning and Electronics Recycling).
21. Ensures that the Ministry of Advanced Education, Skills and Training (AEST) - VFA Data Maintenance records are updated with the College\'s current equipment and systems maintenance/replacement data.
22. Performs other related duties as required.
Qualifications

Education and Experience
- Completion of a 2-year community college or university program, including coursework in computer systems, drafting, and communication and minimum 2 years Facilities, construction, or renovation project management experience.
- Experience in AutoCAD/BIM, Adobe Photoshop, and MS Office applications.
- Experience in SketchUp, FAST, PUMA (Utility Monitoring), Adobe Acrobat, SmartTool (CNG), Terminal Four, and Student Information Systems (such as Banner).
- Experience in Energy Management administration and reporting or an equivalent combination of training and/or experience may be substituted for the required qualifications.
Skills and Abilities
- Proven interpersonal skills with the ability to work both independently and collaboratively as a member of a team referring issues to supervisor, as needed.
- Ability to establish and maintain effective working relationships with students, staff and faculty.
- Ability to exercise good judgment, flexibility and initiative when performing tasks.
- Effective organizational and time management skills with the ability to prioritize and manage a considerable workload.
- Ability to communicate clearly and effectively both orally and written.
- Demonstrated ability to follow modern office procedures and methods including telephone and electronic communication, electronic filing and other organizational systems.
- Advanced level ability in MS Word and Excel including use of filters, multi-level sorting and macros.
- High level of initiative and the ability to identify priorities and refer matters to higher authorities as necessary.
- Ability to learn and adapt to emerging relevant software.
- Attention to detail and support-oriented approach.
- Demonstrated ability to maintain the utmost confidentiality in dealing with business/contract information.
- Knowledge of the policies, rules and regulations governing the operational aspects of the College.
- Demonstrated knowledge and ability with planning, organizing, scheduling and coordinating minor projects and special projects.
- Ability to think critically and perform all assignments with minimal supervision, to make decisions independently with appropriate judgement, to prioritize work, and to meet deadlines while working under pressure in a fast-paced work environment.
- Ability and familiarity to understand architecture and interior design practices.
- Knowledge and understanding of capital project practices, processes and standards.
- Knowledge and understanding of Energy Management practices.
- Willingness to obtain WHMIS certification.
- Knowledge and understanding of architecture and interior design processes.

- May be required to work at all campuses.
Salary Range - Prorated based on FTE

PAYGRADE 23 - $1,935.78 - $2,267.96 bi-weekly
