Provides administrative assistance to Facilities Projects Director and Facilities Projects team providing typical daily office support including management of meetings, document editing and reporting, coordination of team events, management of supplies. This position maintains our project management tools and templates.
Supports Facilities Projects Director in the management of vendor and consultant proposals or agreements and the associated processing of purchase orders & invoices. Tracks, documents and assists in budget management and reconciliation of purchase requisitions & invoices.
Under supervision, this position is responsible for the documentation and tracking of assigned capital projects in the areas of budget, issues management, schedule and project scope. Projects include new construction, renovation and other small project requests. Tracks project data and compiles reports as assigned. Assists in the project tracking of all project related documents including, but not limited to contracts, RFI\'s, proposal requests, change orders, testing, inspection reports, lien notices, purchase requisitions, invoices and contractor pay applications.
Supports project management team on design and construction administration activities and other projects as assigned.

Qualifications
Education
Required: Associates Degree
Preferred: Bachelor\'s Degree in construction or related field
Experience
Required: Minimum 3 to 5 years of experience in the design and construction of healthcare facilities, commercial construction, or real estate management office.
Preferred: Knowledge of internal processes within commercial facilities teams particularly within a healthcare organization. Previous documented support and participation of contract management, procurement, finance & accounting processes

Special Skills
Required: Advanced computer skills with Microsoft Office particularly Word, Outlook, Powerpoint and Excel. Experience and knowledge in management of contracts and vendor & consultants invoicing as well as tenant improvement reimbursements.
