Facilities Management Coordinator

About this opportunity

Reporting to the National Director, Corporate Real Estate and Facilities, the Facilities Management Coordinator is responsible to promptly respond and effectively action incidents, problems, changes and requests submitted through FM ticketing system or through email . This includes following documented Standard Operating Procedures to resolve the ticket within the defined Service Level Agreement or promptly escalating as defined, all while keeping the customer informed throughout the process.

  • Provide general overall facility management services nation-wide, including continuous monitoring, updating and closing of ServiceNowtickets or similar Computerized Maintenance Management System (CMMS);
  • Address client inquiries, concerns ensuring timely, and quality issue resolution and service delivery;
  • Follow up with clients to ensure customer satisfaction (in Teams or email);
  • Respond to all facility inquiries and complaints, assess problems and take the necessary corrective action;
  • Follow protocol for effective building-specific maintenance and safety procedures;
  • Coordinate with outside contractors and vendors for the service and repairs;
  • Maintain on-going communication with contractors, client, and FM team;
  • Create work orders and assign to subcontractors and vendors;
  • Train contractors and vendors on work orders, billing procedures CMMS;
  • Communicate frequently with client, property owners, and vendors to resolve issues and provide status updates
  • Report and collaborate concerns with the FM team in finding appropriate solutions and direction
  • Assist in the monitoring and assessment of vendor performance;
  • Escalate complex work orders such as environmental issues & disaster recovery to the Sr. Coordinator and FM Lead;
  • Manage service and performance of vendors and landlords for timely completion of jobs.
What you need to be successful
  • 1-4 years of experience in a similar role;
  • Must have a good general knowledgeable and understanding of all operational aspects of building systems;
  • Undergraduate degree or college certification in FM or related field or working towards certification;
  • Proficient in MS Office 365 (Word, PowerPoint, Advanced Excel);
  • Able to communicate effectively with employees, vendors and building management team;
  • Interpersonal skills to work cooperatively with all departments within the organization;
  • Must be comfortable working with a variety of employees;
  • Positive attitude and team-player;
  • Familiarity with a Computerized Maintenance Management System (CMMS) is an asset.
