  • Interagir avec les clients de fa\xc3\xa7on professionnelle en tout temps. Saluer et accueillir tous les visiteurs et les diriger en cons\xc3\xa9quence. D\xc3\xa9livrer aux visteurs une carte dacc\xc3\xa8s et les enregistrer sur Condeco.
  • Agir comme interface avec le client, les visiteurs et les invit\xc3\xa9s. Agir en collaboration pour r\xc3\xa9soudre des probl\xc3\xa8mes et des situations spontan\xc3\xa9es avec professionnalisme. Assurer la perstation de services et la satisfaction globale de rendement dOmnicom. Faire preuve de leadership, de r\xc3\xa9activit\xc3\xa9 et de cr\xc3\xa9ativit\xc3\xa9 dans la recherche de solutions pour la prestation de services.
  • G\xc3\xa9rer les r\xc3\xa9servations des salles de r\xc3\xa9union \xc3\xa0 laide de Condeco
  • Fournir un soutien pour les r\xc3\xa9unions et les r\xc3\xa9servations de salles de conf\xc3\xa9rence, au besoin, et les orienter.
  • Effectuer des t\xc3\xa2ches administratives au besoin en assistant les RH et les cadres, tels que les services de transport a\xc3\xa9rien et de limousine. Prendre les dispositions n\xc3\xa9cessaires pour offrir un service de traiteur au client et collaborer avec les traiteurs locaux.
  • Entretenir toutes les cuisines et les aires communes, les salles de conf\xc3\xa9rence et sassurer que toutes les commodit\xc3\xa9s connexes sont propres, en stock, et pr\xc3\xaates \xc3\xa0 \xc3\xaatre utilis\xc3\xa9es.   • Tenir \xc3\xa0 jour les stocks de fournitures de bureau, y compris les fournitures de papier pour imprimante, etc. et informer le gestionnaire des installations lorsquun r\xc3\xa9approvisionnement est n\xc3\xa9cessaire
  • G\xc3\xa9rer lensemble du courrier et des services de messagerie, notamment pr\xc3\xa9parer les colis de messagerie, coordonner la cueillette et la livraison, confirmer la livraison et r\xc3\xa9soudre en temps opportun tout probl\xc3\xa8me connexe.
  • Assister \xc3\xa0 la coordination et \xc3\xa0 lordonnancement des activit\xc3\xa9s dentretien.
  • Coordonner avec la gestion du b\xc3\xa2timent sur des \xc3\xa9l\xc3\xa9ments tels que la climatisation, le stationnement, etc.
  • Re\xc3\xa7evoir et traiter les factures en utilisant le bon codage.
  • Communication r\xc3\xa9guli\xc3\xa8re avec le gestionnaire de linstallation sur des questions logistiques relatives \xc3\xa0 la r\xc3\xa9ception et aux locaux et sur toute question ou pr\xc3\xa9occupation des employ\xc3\xa9s du client, aider le gestionnaire de linstallation \xc3\xa0 planifier de fa\xc3\xa7on tactique les buts et objectifs de l\xc3\xa9quipe des installations
  • chercher \xc3\xa0 am\xc3\xa9liorer continuellement les processus, les syst\xc3\xa8mes et la satisfaction globale des clients
RESPONSIBILITIES.
  • Interact with clients in a professional manner at all times. Greet and welcome all visitors and direct them accordingly. Issue our visitor a visitor access card and register them on Condeco.
  • Acts as an interface with client, visitors and guests. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation. Ensures delivery of committed services and overall satisfaction with Omnicom performance. Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery.
  • Manage meeting room bookings using Condeco
  • Provide support for meetings and conference room reservations, as needed, and directed.
  • Perform administrative duties as needed by assisting HR and executives, such as airline and limousine services. Arrange catering for the client and work with local caterers.
  • Maintain all kitchens and common areas, boardrooms/conference rooms and ensure all related amenities are clean, in stock, and ready for use. Work with the local cleaning vendor to make sure all areas are maintained to an excellent standard.
  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption, as needed
  • Maintain inventory of office supply, including printer paper supply etc. and inform Facility Manager when replenishment is required
  • Manage all mail and couriers, including but not limited to preparing courier packages, coordinating pick-up and delivery, confirming delivery and resolving any related issues in a timely manner.
  • Assists with the coordination and scheduling of maintenance activities.
  • Coordinate with the building management on items like air conditioning, parking etc.
  • Receive and process invoices using the correct coding.
  • Regular communication with Facility Manager on reception/premises logistic matters and any Client employee questions or concerns, Assist Facility Manager with tactical planning for the facilities teams goals and objectives
  • Seek to continuously improve processes, systems and overall client satisfaction
