The Communication Specialist is a problem solver who supports the administration and innovation of our internal communications products, platforms, and processes, and delivers on assigned projects related to operations and governance. The Communications Specialist is a key team member of the centralized Internal Communications team, which is responsible for official company-wide and department-level communications. This role provides operational support for the weekly communications process, including distribution list creation and maintenance, processing communication requests as needed, publishing in our communications web platform, management of the communication request system, and partnering with our vendor and our CarMax Technology team to troubleshoot any issues with our communications web platform. This role will also have some writing responsibilities and will use the visual design capabilities of our platforms to format and publish internal communications and culture-building articles.

What you will do \xe2\x80\x93 Essential Responsibilities

  • Provide ongoing troubleshooting support and relationship management with the vendor for our communications web platform, in partnership with the CarMax Technology team. This includes submitting tech support tickets for the Internal Communications (IC) team, keeping track of ticket progress, and following up with the right parties \xe2\x80\x93 either the vendor or CarMax technology \xe2\x80\x93 until issues are resolved.
  • Responsible for day-to-day management of the CarMax Communications mailbox and the communication request system.
  • Maintain address groups/distribution lists on an ongoing basis, including planned list clean-up processes.
  • Create new distribution lists for specific communications in partnership with IC team.
  • Lead team review of weekly list of communications and process to validate and distribute weekly list to key stakeholders.
  • Transfer finalized communication content into the CarMax Connect web platform for review and publishing, including formatting.
  • Process communication requests from business clients if needed/assigned.
  • Coordinate, fact check, write, format, and publish content submitted for culture-building articles.
  • Support updates to team governance documents as requested.
  • Provide ad hoc support for team projects that innovate and advance IC products and processes.
  • Manage on-call schedules and team meeting calendars.
Purpose of the role

This role is critical to supporting the operational processes and governance for the centralized Internal Communications team. The ideal candidate must demonstrate exceptional teamwork, a collaborative mindset, and great customer service. Additionally, the ideal candidate is highly organized, and is proficient with technology tools used for designing and publishing communications.

Qualifications and Requirements

EDUCATION and/or EXPERIENCE:
  • BA/BS degree preferred
  • 2+ years\xe2\x80\x99 experience in administration or operational management, or internal/corporate communications, preferably in consumer/retail-related environment
SKILLS:
  • Exceptional skills in teamwork and customer service
  • Excellent organizational skills
  • Problem solving and technical troubleshooting capabilities
  • Strong writing and oral communication skills
  • Preferred: Skills in visual design and formatting that would translate to a publishing system
  • Preferred: Process management capabilities
  • Experience with Firstup communications platform a plus, but not needed
