Job Description

We are seeking a an enthusiastic and detail-oriented

Client & Office Coordinator

to support our rapidly growing team. The successful candidate will manage client interactions, logistics, and assist with sales and tech support, playing a vital role in ensuring a seamless customer and employee experience.

Key Responsibilities:



Answer all incoming client calls, emails, and website chat requests in a professional and timely manner. Manage all incoming and outgoing shipments within the ERP system to audit and compliance standards. Track repairs and service cases using ERP tools for seamless status updates. Coordinate with freight partners, book shipments, and proactively send tracking updates to clients. Support the sales team by checking lead times, generating quotes, and booking new orders. Assist the technical team by logging tech support requests, arranging repairs, and communicating with clients throughout the process. Organize office workspace, manage office supplies, and keep common areas functional. Oversee and replenish inventory of office materials as needed. Send invoices to clients, track receivables, and follow up to ensure payments are received. Post regularly to Hybrid Power Solutions' social media accounts in accordance with company branding.

: Proven ability to work in a fast-paced, high-volume environment, managing multiple tasks efficiently and maintaining high levels of organization. A meticulous approach to closing the loop on tasks, ensuring all projects are completed thoroughly and on time.

Communication Skills

: Excellent written and verbal communication skills to effectively collaborate with both clients and cross-functional teams.

Initiative and High Energy:

A proactive approach with a high level of energy to drive tasks forward and anticipate needs before they arise.

Critical Thinking and Problem-Solving:

Strong analytical skills to resolve complex issues efficiently and effectively, often thinking outside the box to find innovative solutions.

Education & Experience:



A diploma or degree in Business Administration or a related field. Some experience in an administrative role, with emphasis on attitude and personality fit.

Work Environment:



The role involves working in a dynamic environment with frequent interactions across departments.

Salary Range:


This is a permanent, full-time in-person role with an annual salary of between $40,000 and $60,000 depending on experience level.
