We are seeking a detail-oriented and organized Office Coordinator to join our team. This role is essential in managing daily office operations, supporting financial processes, and ensuring smooth administrative workflows. What You'll Do
Manage the firm's work in process for personal, corporate, trust and bookkeeping clients
Manage meetings and client and firm deadlines
Communicate with clients to schedule meetings, follow-up for outstanding information and respond to their nquiries
Prepare engagement letters and other letters to clients
Assist with preparation of personal tax returns as well as submission of documents to CRA for pre and post assessment reviews
Maintain client books (invoices, banking and credit card transactions, monthly reconciliations, prepare GST/HST returns, payroll remittances) using Quickbooks
Assist with other office admin
What We're Looking For
1+ years of experience in administration, coordination, or client care (public accounting experience preferred)
Excellent organizational skills with the ability to manage multiple tasks efficiently
Strong communication skills and ability to work collaboratively within a team
Experience with accounting software such as QuickBooks
Tech savvy with Microsoft Office, Adobe and Docusign and willing to learn new software e.g. CCH iFirm
Attention to detail and accuracy in data entry and record keeping
Able to juggle multiple priorities and adapt to changing timelines
Comfortable following established systems but always looking for ways to improve them
Hours & Schedule
Approx. 40 hours/week, Monday-Friday
Overtime during tax season (Feb-April)
