As the Administrative Assistant, you will provide administrative support to senior managers and staff in the Major Event Emergency Management Section (MEEMS). Primary duties include:
Schedule and organize meetings, workshops, presentations and planning sessions.
Act as the first point of contact and answer inquiries from clients and vendors or direct them to appropriate level of staff.
Help with preparing reports, manuals, lesson plans, presentations, organizational charts, agendas, handouts, correspondence, executive reports and information items.
Prepare, verify and track weekly duty returns and ensure standby, call out, extra time pay is processed correctly.
Order office supplies and equipment.
Reconcile invoices and forward for payments.
Receive, open and forward incoming/outgoing mail, couriers, faxes and emails.
Scan and classify documents.
Assist with the pay duty program as needed.
Take minutes for meetings.
