The Business Development Coordinator is responsible for providing administrative support to the business development team, preparing documents, maintaining systems, organizing meetings and following-up on action items specific to the bidding process for Rodeo FX\xe2\x80\x99s film and television departments.

Main Responsibilities

• Downloading and archiving all bidding material received from multiple parties via secure platforms (Aspera, FTP etc.);
• Maintaining / archiving all received and sent documents accurately on the production servers and shared drives following the approved naming convention;
• Creating and maintaining client databases, contact lists, training documents and track business opportunity statuses;
• Providing effective administrative support: Coordinating and arranging department meetings, onboarding detailed notes taking;
• Following up on upcoming department milestones : bids to send, creative team assignments etc;
• Communicating effectively with executive producers and VFX supervisors to guarantee the timely delivery of bidding packages;
• Update training documents and lead onboarding sessions for new business development team members.

Qualifications

• 3 - 4 years of professional experience;
• Proven record of experience in the VFX industry as a Show Coordinator, Central Production Coordinator or Executive Assistant;
• Good understanding of the VFX pipeline and general curiosity for the film/ animation industry;
• Advanced in excel, able to follow complex/detailed templates and fix formulas upon request;
• Also proficient in Microsoft Word, Excel, Powerpoint and google suite;
• Excellent attention to detail. Able to enter/track a high volume of data into multiple spreadsheets ;
• Excellent notes taking skills. Capable of taking detailed technical and creative notes in a VFX brief;
• Able to work prioritize and manage workload;
• Able to work independently and as part of a team;

The person will work closely with our teams in Toronto, Vancouver and Los Angeles. The business development coordinator will also be involved in exchanges with our customers based around the world, in order to highlight Rodeo FX\'s technical and creative capabilities.
