Job Summary



This position is responsible for providing complex administrative support to a busy legal firm. The role is responsible for performing broadly defined administrative and tax management tasks that requires business judgment, initiative, drive, experience, skill and knowledge of the organization's functions and tax procedures. The position is accountable for managing and organizing calendars, scheduling meetings, booking resources, filing, word processing, record keeping, expense management, travel arrangement, and responding to a range of external inquiries. Additionally, the position is involved in leading and coordinating the day to day office operations. This role interacts very closely with the director, other members of the Team, as well as external customers and vendors, and other 3rd parties.

Knowledge & Skills



Knowledge of Microsoft Office, MS Teams, QuickBooks and Simply Accounting Knowledge of Tax procedures including GST/HST and corporate filings Advanced PC skills and strong proficiency in MS Office (Word, Excel, Outlook) Experience working effectively in a fast paced environment, dealing with moderately complex issues and managing conflicting priorities Post-secondary education or equivalent experience and/or other professional related training Excellent written and verbal communication skills Self-motivated and resourceful; able to work independently and resolve issues under little direction Detail oriented, extremely well organized; able to manage time and expectations, and effectively multi-task under conflicting priorities and timelines Proven ability to deal with highly confidential and sensitive materials in an appropriate manner Sound knowledge of modern office practices and procedure Excellent interpersonal, written and oral communication skills Bilingual in Mandarin is an asset Some legal knowledge is an asset

Duties



Develop and maintain an efficient recordkeeping / filing system to ensure reports, correspondence and financial documentation are maintained and readily available Prepare corporate GST/HST and corporate tax filings Maintain general ledgers and financial statements, post journal entries, prepare trial balances, reconcile accounts, calculate and prepare payroll, prepare other statistical, financial and accounting reports; Preparing various detailed reports, purchase orders, agenda, notices, general and confidential correspondence; Maintaining a follow-up system to monitor activities and reporting problems affecting the timely completion of assignments; Maintaining various computerized databases which involves, summarizing data and generating and distributing various reports as required; Retrieving and compiling data and materials necessary to complete records, reports, memos, letters, and others forms of communication as required; Answering general inquiries and properly re-directing other inquiries; Handling daily office tasks and work routines as required including the preparation and timely delivery of mail, faxes, photocopies, special courier services, and office stationery; Co-ordinating arrangements for business meetings, appointments, visits, etc.; Establishing and maintaining in good order all appropriate office administration systems Assisting designated staff with processing and maintaining records of office expenditures (e.g. purchase requisitions, personal claims etc.) and other expense administration where appropriate; Providing back-up administrative/secretarial support to other sections in the office Related duties as assigned

Job Types: Full-time, Permanent

Pay: $40,000.00-$42,000.00 per year
