Job Title: Bookkeeper & Administrative Assistant (Aspen & Ivy)
Work Hours: Monday to Friday (9AM to 5PM)
Wage: Commensurate with level of experience
Anticipated Start Date: Immediately
Location: Barrie, ON

Responsibilities for this position include:

  • Performing full-cycle bookkeeping tasks, including AP and AR management
  • Handling payroll processing and expense tracking
  • Reconciling bank and credit card accounts
  • Managing corporate files and organizing documentation
  • Overseeing insurance matters, including WSIB
  • Creating reports and input data using spreadsheets and financial software
  • Coordinating year-end requirements and liaising with external accountants
  • Maintaining communication by generating reports for Retail Sales & Marketing
  • Engaging with suppliers and vendors and maintaining records and price lists
  • Identifying opportunities for improved efficiency and cost-effectiveness
  • Ensuring accurate product margin management and accounting
  • Providing administrative support to management as needed, including but not limited to organizing and managing project files, contracts, and documentation

Aspen & Ivy is seeking an experienced Bookkeeper and Administrative Assistant reporting to the Principal Designer. As the Bookkeeper & Administrative Assistant, you will be responsible for various bookkeeping and administrative tasks. Your meticulous attention to detail, strong interpersonal skills, and affinity for numbers will contribute to our success.

This role is distinctly non-design-oriented, and it\'s important to emphasize that it does not lead to a transition into a design position.

Qualifications: The ideal candidate for this position will have the following qualifications:
  • College diploma or Certificate in Accounting/Business
  • Minimum of 5 years of bookkeeping experience
  • Minimum of 1-2 years of administrative support experience
  • Proficiency with QuickBooks accounting
  • Proficiency with Gmail/Google Apps and Microsoft 365
  • Must be able to communicate effectively and professionally with clients as well as within the company
  • Must be able to maintain the highest level of confidentiality, handling sensitive information concerning both the company and its clients
  • Must be adept at multi-tasking, with exceptional organizational skills
  • You are flexible and adaptable, with the ability to effectively prioritize tasks
  • You are a mature self-starter who remains calm under pressure
  • Excellent interpersonal and conflict resolution skills
  • Excellent time management and attention to detail skills are critical
  • Strong analytical and problem-solving skills
  • Consistently operates as a role model for appropriate and professional behaviour
  • Highly inclusive and welcoming, taking on actions that support and help develop the culture and fosters a culture that promotes ethical practices and passion and encourages individual integrity, accountability, and responsibility
The following would be considered assets:
  • Bookkeeping experience in the Interior Design and/or Construction industry
  • Customer service experience
  • Experience with Studio Designer
