Waypoint is seeking a highly organized and detail-oriented Lease Administrator to join our expanding Lease Department. This role will support the Manager, Insurance Operations in managing lease accounts and performing various administrative tasks. The ideal candidate will have a keen eye for detail, strong communication skills, and the ability to thrive in a fast-paced environment. RESPONSIBILITIES:
###
Paperwork & Documentation Management
Prepare and process essential paperwork for leased vehicles, including Insurance Renewal Letters, Letters of Authorization, and related documents.
Manage cheque refunds and endorsements, ensuring accuracy and timely processing.
Handle the monthly Notice to Renewal (NTRs) forms, entering data into the lease account database, and assigning follow-ups to Insurance Agents.

Mail & Communication
Organize and handle inbound and outbound mail efficiently.
Assist with answering phone calls and emails, directing inquiries to appropriate departments as needed.

Data & Recordkeeping
Perform filing, scanning, and data entry tasks to maintain accurate records.
Compare current NTRs with previous years to identify and resolve discrepancies.
Manage the lease master list with updated NTRs and expiry dates, and coordinate with IT for updates.
Process parking

Administrative Support
Review and update monthly stats for lease agents, maintaining accurate records and client communications.
Administer Letters of Authorization and ensure timely return of NTRs with required documentation.
Cover general administrative duties including reception coverage, postage processing, and other assigned tasks.
Additional duties and responsibilities may be added during the course of employment.

REQUIREMENTS:
High attention to detail and accuracy in all tasks.
Strong verbal and written communication skills.
Ability to multitask effectively in a fast-paced environment with tight deadlines.
Quick learner with the ability to adapt to new software and processes.
Proficiency in intermediate Microsoft Excel and strong typing accuracy.
Experience with repetitive tasks and high-volume data management.
Ability to work well within a team and contribute to a collaborative work environment.

The base salary or wage range for this role is $60K to $85K per year. At Waypoint, compensation is determined by a combination of factors including a candidate's experience, job-specific knowledge, and skills. Internal equity to ensure fairness across the organization and region/location is also considered.
