Job Description

Theresa Place Media Inc. (TPM) is seeking a highly organized and detail-oriented Association Administrator Assistant to support the day-to-day operations of multiple client associations, including Theresa Place Media. This part-time role (15-20 hours per week) will provide administrative, membership, and event support while ensuring excellent communication and service to members, volunteers, and partners.

Key Responsibilities:

Administrative Support

Respond to emails and phone inquiries on behalf of multiple clients in a timely and professional manner. Maintain calendars, schedule meetings, and coordinate availability for association activities. Draft, format, and distribute agendas and minutes for board and committee meetings. Order and manage office supplies as needed. Ensure all administrative tasks are completed in alignment with the organization's strategic goals.

Meeting and Committee Support

Coordinate meeting logistics, including scheduling, agenda preparation, and material distribution. Attend meetings to take accurate minutes and distribute them promptly. Support committee work by tracking deadlines, circulating updates, and assisting with assigned tasks.

Membership Coordination

Maintain and update membership databases. Manage renewal cycles, track payments, and prepare regular membership reports.

Event Support

Assist with event registration. Set up and maintain registration databases, including reporting and analytics. Manage event name badging, tickets, and attendee lists. Participate in event team meetings and contribute to planning and execution. Provide on-site event support as needed.

Project Coordination

Support committees and project leaders (staff or volunteers) with assigned tasks. Monitor timelines and ensure deadlines are met. Provide regular status updates on project progress.

Qualifications:



2+ years of administrative, office, or association/nonprofit experience preferred. Strong organizational skills with attention to detail and the ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency with Microsoft Office and Google Workspace (experience with databases and registration platforms an asset). Ability to work independently and collaboratively in a hybrid environment, TPM office located in Burlington, ON. Customer service mindset with a positive and professional attitude. Must have a valid driver's license and vehicle.
