Job Title: Office Administrator Assistant

We are currently seeking an experienced Office Administrator to join our team. The ideal candidate will possess excellent organizational and communication skills, coupled with a strong ability to multitask and effectively manage a team. The selected candidate will be responsible for a variety of administrative tasks, including but not limited to managing the front desk, handling financial records, and ensuring smooth operations in a busy office environment.

Responsibilities:

Front Desk Management:

Greet visitors and provide a welcoming atmosphere.
Consult visitors about services and programs.
Answer and direct phone calls in a professional manner.
Manage incoming and outgoing mail.

Calendar Management:

Coordinate and manage calendars for multiple staff members.
Schedule appointments and meetings as needed.

Financial Record Management:

Ensure the smooth operation of financial records and file security.
Collect payments from customers and students.
Process invoices, purchase orders, and expense reimbursements.

Student Support:

Distribute books and kits to students as necessary.
Provide assistance with any student-related inquiries.

Data Entry:

Input financial data into relevant systems.
Maintain accurate and up-to-date records.

Phone Etiquette:

Demonstrate proficiency with phone systems.
Maintain a high level of phone etiquette.

Reception Area Maintenance:

Ensure the reception area is tidy and welcoming.
Periodically assist with the movement of office supplies and materials, including the ability to carry up to 20 pounds.

Skills:

Excellent communication skills, both written and verbal.
Strong organizational skills with the ability to multitask effectively.
Proficient in Microsoft Excel and Google Sheets, including sorting, sending functions, and creating formulas.

Qualifications:

Proven experience as an Office Administrator Assistant or in a similar role. Familiarity with office management procedures and basic accounting principles. Strong knowledge and proficiency in Microsoft Excel and Google Sheets. Ability to work well in a team environment and lead when necessary. Excellent problem-solving skills and attention to detail. Exceptional interpersonal skills and a professional demeanor.

Job Type: Full-time

Pay: $19.00-$20.00 per hour
