THE OPPERTUNITY:



We are seeking a reliable, detail-oriented Personal Assistant / Office Administrator to support the daily operations of our office, management team, and family shareholders. This role is well-suited for someone who thrives in a small or family-owned business environment, enjoys a variety of tasks, and values a calm, organized workspace. You will play a key role in keeping administrative operations running smoothly while occasionally assisting with personal administrative needs.

Key Responsibilities :



Office Administration



Manage and oversee daily office activities to ensure smooth operations Handle incoming communications including phones, emails, mail, and internal messages Maintain and organize digital and physical filing systems Order office supplies and coordinate with vendors when needed

Administrative & Executive Support



Provide administrative support to the management team and family shareholders Assist with scheduling, appointment coordination, and calendar management Prepare basic reports, documents, and correspondence Support occasional personal administrative tasks as required

Operations & Coordination



Assist with various company operational tasks as needed Coordinate small projects or office initiatives Help streamline processes and identify opportunities for improved efficiency

Bookkeeping & Records



Support basic bookkeeping functions and financial recordkeeping Track expenses and assist with invoice processing Ensure accurate documentation and timely filing of financial records

Qualifications & Skills



Technical & Administrative Skills

Proficiency with office software (Microsoft Office 365, Google Workspace, etc.) Ability to perform basic technical tasks, including printer and device troubleshooting Strong organizational abilities with excellent attention to detail

Professional Attributes



High level of reliability, integrity, and confidentiality Strong problem-solving skills and the ability to work independently Friendly, approachable, and professional communication style Comfortable working closely with family members and within a family-owned business environment

Experience



Experience in an office administrator, assistant, customer service, or operations support role Previous experience in a small or family-owned business setting is an asset

Additional Requirements



Valid driver's license (required) Ability to speak Mandarin is considered an asset

Pay: $20.00-$25.00 per hour
