Assistant Property Manager

Job Description


PURPOSE The Assistant Property Manager is accountable to the Senior Property Manager or Senior District Manager for assisting in the day-to-day administrative and operation functions are carried out in a timely and consistent manner to enable the Operations department to achieve its business goals and objectives, while promoting and preserving positive tenant relations.
DUTIES AND RESPONSIBILITIES

  • Property Operations Documentation
    Prepares and oversees various documentation (approving approving applications, issuing various notices under the RTA, reviewing rent rolls, etc.) resulting in the smooth coordination between operations and Accounting and to ensure records are maintained and completed in a timely manner; follows up with lawyers on the status of legals, attending tribunal hearings if necessary.
  • Accounts Payable Process
    Processes and reviews all invoices in a timely manner and matches them to the purchase orders/contracts to ensure accuracy in account coding and proper approvals of documents while following up on any discrepancies to obtain final approval.
  • Property Operations
    Oversees security functions, repairs and maintenance projects and carries out physical inspections of the property to ensure that the grounds are maintained to managements standards, as well as reviews procedures and projects with operations staff; inspects suites at turnover time to ensure suite is move-in ready for incoming tenants.
  • Tenant Relations
    Serves as primary point of contact addressing complex tenant issues and inquiries including collections, rent abatements, tenancy terms and conditions, tenant improvements, etc., to contribute to the tenant retention and satisfaction, and sustain optimum occupancy rates.
  • Leasing Analysis and Reporting
    Oversees leasing activities and staff as well as analyzing vacancy reports and reviewing tenant applications to ensure the goal of achieving optimum occupancy rates is met; prepares weekly, monthly and quarterly reporting to provide management with resources that can be relied upon for decision making purposes.
  • Management of Staff
    Responsible for directing, training and supervision of staff to ensure that all administrative and operational policies and procedures are followed.
Any other job related duties and/or projects that may be assigned. Minimum Requirements Skills, Knowledge, Experience and Education
  • High school diploma or Post Secondary Education is an asset
  • Minimum 3 years of relevant work experience or equivalent
  • Good knowledge of MS Office applications
  • Working knowledge of the Residential Tenancies Act
  • Up-to-date with City By-Laws.
