Schedule Description

DUTIES

Initiating and sustaining Alumni Networks to support and maintain pathways for alumni participation that advances the goals of the institution is a priority. This position will also work to identify, and cultivate, relationships with alumni through internal and external communications, marketing and events while serving as a liaison between Alumni, the community, the Alumni & Friends Association Board of Directors and the academic and administrative leadership.

MAJOR DUTIES & RESPONSIBILITIES

  • Actively initiates alumni chapters and steers the Chapter Committee of the TRU Alumni & Friends Board.
  • Consults with TRU Faculty and Dean\'s to develop Alumni Network events for alumni from their Faculty/School.
  • Consults with alumni, businesses and industry professionals to engage them in the Alumni Network program.
  • Responsible for planning and coordinating all aspects of local and regional chapter/network events, including timelines, budgets, coordinating set up, booking facility, ordering catering, and marketing event. Plans and actively supports all aspects (including timelines and budgets) of chapter/network events, reunion program development and regional alumni programming.
  • Responsible for content development, data support, and maintenance of the alumni webpages, blog, social media platforms and print media. Ensures rapid, accurate flow of information between TRU and its stakeholders with limited supervision.
  • Meets with TRU faculty to determine alumni program needs. Prepares contracts/purchase requisitions for outside agencies, following TRU policy.
  • Coordinates facilities, supplies and resources for alumni events on and off campus.
  • Serves as an ex-officio member of all alumni networks.
  • Works to increase membership and participation in all alumni networks.
  • Establish and build relationships with a wide range of alumni, locally, regionally, nationally and internationally; maintain regular communication with alumni via direct contact, newsletters, email blasts, alumni web pages, social and print media.
  • Ensure accurate and complete alumni database records; capture contact, biographical and career information of alumni via surveys, projects (e.g. alumni directory), correspondence, website etc.
  • Educate graduating students about alumni benefits and engage them in alumni networks.
  • Supervise work/study employees (p/t) and provide guidance to alumni volunteers and ambassadors.

QUALIFICATIONS

EDUCATION:
  • University Undergraduate Degree
EXPERIENCE:
  • Three years experience, including:
  • One year experience in alumni relations and external affairs within the framework of an integrated Advancement program
  • Two years of experience with volunteer based programs
SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
  • Ability to plan, organize and prioritize work while managing multiple, diverse and competing priorities to meet strict deadlines
  • Demonstrated accomplishment in fostering productive relationships with internal and external stakeholders
  • Experience with relational database
  • Knowledge of the steps needed to strategize, implement and build constituent programs
  • Strong analytical, organizational, and problem solving skills
  • Ability to work with a diverse group of stakeholders and alumni
  • Computer skills in word, excel, windows and data base management
  • Strong working knowledge of desktop publishing, web page editing software and social media platforms
  • Strong written and oral communication skills
  • Demonstrated ability to liaise with TRU personnel and external parties
  • Ability to handle confidential documents with discretion
WORKING CONDITIONS
  • Sitting at desk and computer for long periods of time; general office conditions
  • Works for long periods of time with limited interruption
  • Travel required
  • Must be able to lift boxes of promotional items (up to 10 kg)
The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.

Pay Band

CUPE Grade 08 $29.78

Salary rate

This Position is not subject to a 90% start rate for new Employees.
