The Executive Council Office (ECO), Cabinet Office is looking for a bright and highly motivated Administrative Support Officer with relevant experience. The proponent would provide coordination support for a Cabinet Committee for legislative instruments (Orders in Council, regulations, legislation), the processing of legislative instruments, and the coordination of digital agenda management tools, forums, and processes, and assist with special research projects.

Please note: Although the Hiring Manager is flexible with virtual work arrangements, there is a requirement to attend the office in person as operational needs require.

What can I expect to do in this role?

As the Administrative Support Officer, you would:
  • Provide quality assurance of legislative instrument proposals and related Cabinet/committee materials, including compliance with deadlines, and review of legal documents for accuracy and completeness
  • Construct digital versions of ministry or Cabinet Office materials and/or craft digital documents for distribution to Ministers and senior executives
  • Process original regulations before and after Cabinet approvals
  • Lead the logistical components of Cabinet committee meetings
  • Support and/or lead components of legislative instrument data and analytics
  • Coordinate and respond to inquiries from ministry clients, minister or MPP offices and members of the public
  • Provide support for special/research projects


How do I qualify?

Knowledge of Cabinet Decision-Making Processes:

  • Awareness of the general structure of the Ontario government
  • Knowledge of or demonstrated ability to learn Ontario's Cabinet decision-making system, with a particular focus on the development/review of legal instruments
  • Knowledge of or demonstrated ability to learn the machinery of government processes


Experience Handling Confidential Information and Legislative Documents:

  • Demonstrated ability dealing with highly sensitive information and documents, including abiding by specific rules/protocols
  • Working experience handling legislative instruments an asset, such as Orders in Council, regulations, and legislation


Comfort and Skill with Data Analytics and Digital Processes/Systems:

  • Experience working with databases and learning new digital software/systems
  • Demonstrated experience with data analytics, including using visuals
  • Demonstrated experience creating presentation and other visual products
  • Advanced knowledge using Microsoft Office suite, including Outlook, Word, Powerpoint, and Excel
  • Working experience with Adobe products, such as Adobe Reader and Writer


Acuity, Judgment and Attention to Detail:

  • Strong editing and proof-reading skills to ensure accuracy of official documents
  • Ability to work in tight timelines and with almost no room for error or correction
  • Excellent organizational skills with both paper and digital records
  • Tact, discretion, and political acuity to deal with sensitive information
  • Demonstrated research and project management experience


Customer Service Orientation:

  • Superior interpersonal and customer-service skills to receive calls, conduct in-person interactions at a service counter, and liaise with all levels of staff and government officials and the public
  • Demonstrated organizational skills in planning and supporting events and meetings with senior executives
  • Proven ability to work with senior officials to resolve concerns effectively and tactfully
