Position Summary:


We're looking for a resourceful and highly organized Administrative Assistant to support our operations, coordinate team needs, and keep our day-to-day running smoothly. Reporting directly to the Director of Sales, this role is ideal for someone who thrives in a dynamic environment and can handle multiple priorities with efficiency and professionalism.

Key Responsibilities:



Provide general administrative support to the team, data entry, organization, and general administrative support Maintain organized records of contracts, client files, and compliance documentation Support the onboarding process for new hires and contractors Scheduling client appointments and managing walk-in clients Coordinate internal team events, virtual or in-person, including booking venues, catering, and supplies Enter new client information as well as update existing client information into computer database system Manage and resolve client concerns and complaints as well as identify and escalate priority issues when required Follow-up with client calls where necessary Process orders, forms and applications Provide other administrative support to staff Order office supplies and manage inventory for Winnipeg and Calgary offices Liaise with IT support and other vendors as needed Handle confidential information with discretion

Skills & Qualifications:



2+ years of administrative experience (insurance or financial services industry experience is an asset) Proficiency in Microsoft Office Suite, Google Workspace, and standard office software Excellent organizational and time management skills--you're the person who just gets things done Strong written and verbal communication skills Ability to work independently while also collaborating across teams Experience supporting remote or hybrid teams is a plus A proactive mindset--someone who anticipates needs and solves problems before they happen
