Job Summary: We are seeking a highly organized and efficient Administrative Assistant to join our team. The ideal candidate will provide essential administrative support to ensure the smooth and efficient operation of our office. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously. Key Responsibilities: Office Administration:
  • Manage daily office operations and maintain office supplies inventory.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate personnel.
Documentation and Record Keeping:
  • Maintain accurate and organized records and files, both electronic and physical.
  • Prepare and distribute documents, reports, and presentations as needed.
  • Assist in the preparation and submission of various reports and documentation.
Support to Team Members:
  • Provide administrative support to management and other team members as required.
  • Assist in the onboarding process for new hires, including setting up workstations and training schedules.
  • Coordinate company events, meetings, and conferences.
Customer Service:
  • Greet and assist visiros and tenants, ensuring a positive and professional experience.
  • Address and resolve administrative inquiries and issues from clients and employees.
Assistant Property Management:
  • Assist in the day-to-day management of properties, ensuring they are well-maintained and operating efficiently.
  • Coordinate and oversee maintenance requests and repairs, working with contractors and vendors.
  • Conduct regular property inspections to ensure compliance with safety and health standards.
  • Help manage tenant relations, including handling inquiries, resolving issues, and ensuring tenant satisfaction.
  • Assist in the preparation and management of property budgets and financial reports.
  • Support leasing activities, including showing properties to prospective tenants and processing lease agreements.
Qualifications: Education:
  • Bachelor degree or equivalent; additional qualifications in Office Administration or related fields are a plus.
Experience:
  • Minimum of 1 years of experience in an administrative or clerical role.
  • Experience in real estate development or construction industry is an advantage but not required.
Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with a high degree of accuracy.
