Description Overview
We are looking for an Administrative Assistant who is proactive, adaptable, and able to think creatively to solve problems while ensuring compliance with industry standards and regulations. The ideal candidate will possess exceptional organizational skills, a strong attention to detail, and a willingness to work closely with a senior and a junior advisor, supporting their day-to-day tasks and facilitating smooth operations. You will be trained in the specific tools and systems used by our firm, but prior office experience and professionalism are essential for success in this role.
Key Responsibilities:
Provide administrative support to financial advisor and other team members.
Manage and organize client files, correspondence, and documentation.
Schedule and coordinate meetings, appointments, and conference calls.
Handle incoming phone calls, emails, and client inquiries in a professional and timely manner.
Assist with the preparation of financial reports, and documents.
Update and maintain client databases with accurate and up-to-date information.
Assist with client on-boarding, processing paperwork, and follow-up tasks.
Perform general office duties including filing and scanning
Support various team projects and perform other administrative tasks as needed.
Required Skills & Qualifications:
Professionalism & Office Experience:
Previous office experience in an administrative role is required. Prior experience in the investment or financial services industry is a plus.
Strong Attention to Detail:
Able to handle multiple tasks with a high degree of accuracy, ensuring all client and company information is organized and up-to-date.
Excellent Communication Skills:
Ability to communicate clearly and professionally, both in writing and verbally, with team members, clients, and external partners.
Problem-Solving Skills:
Ability to think outside the box and come up with innovative solutions to address challenges while remaining within compliance guidelines.
Adaptability:
Comfortable working in a fast-paced environment, with the ability to adjust to changing priorities and handle new tasks with minimal supervision.
Commitment to Long-Term Growth:

Preferred Qualifications:
Familiarity with industry software, financial tools, and CRM systems.
