Administrative Assistant

to join our dynamic team!


The Administrative Assistant will be the primary point of contact for visitors and plays an essential role in the daily operations of the facility. This position ensures seamless administrative and reception functions, supports executives by generating critical reports, and provides direct assistance to the General Manager by delivering prompt and accurate data. The ideal candidate is a highly organized, detail-oriented professional who excels in multitasking and thrives in a fast-paced environment.




Key Responsibilities:






1. Reception & Facility Support




Serve as the first point of contact for visitors, vendors, and clients, ensuring a professional and welcoming experience. Manage the front desk, answer calls, and ensure consistent coverage in the foyer. Issue and track visitor badges while briefing all guests on safety and evacuation procedures. Coordinate facility services, liaising with landscapers, snow removal teams, cleaning crews, and uniform contractors. Monitor and maintain security access, including employee swipe badges, alarm codes, and key distribution. Ensure office security measures are upheld, including camera system monitoring and coordination of maintenance.

2. Time & Attendance Management




Reconcile daily time entries in applicable systems and support bi-weekly payroll reviews. Maintain and update employee schedules and ensure new hires are properly onboarded. Oversee daily labor ticket reconciliation and manage employee record updates. Facilitate new hire onboarding, including facility tours, access badge issuance, and uniform distribution. Maintain and track vacation schedules for shop floor employees.

3. Operations & Executive Support




Generate and distribute job sheets and maintain an up-to-date job tracking system. Update project timelines, costs, hours, and milestones in testing and forecasting systems. Create and manage customer status reports and tool progress documentation, providing graphical analysis as needed. Track and report Key Performance Indicators (KPIs) for corporate leadership. Prepare month-end financial reconciliation reports in coordination with the Finance Department. Support the General Manager by ensuring critical data and reports are readily available and accurately compiled for decision-making.

4. General Administrative Support




Assist the General Manager and supervisors with administrative tasks and ad-hoc projects. Organize and coordinate company luncheons, events, and morale-boosting activities. Maintain inventory of office supplies, including copier paper, coffee, markers, and janitorial items. Provide daily administrative support to employees as needed. Work with IT to facilitate on-site support and coordination as required.



Qualifications:




Proven experience in an administrative role, preferably in a manufacturing or industrial setting. Strong time management and organizational skills, with a high level of attention to detail. Experience with time and attendance systems (ADP, VTA) and payroll coordination. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with Visual ERP software is an asset. Excellent communication and problem-solving skills. Ability to work independently and collaboratively in a dynamic environment. Strong interpersonal skills and a customer-service-oriented mindset.

Work Environment





This role operates primarily in an office setting with regular interaction on the shop floor. Occasional lifting of office supplies and event materials may be required. Standard working hours apply, with flexibility to support deadlines and operational needs.
