Job Description


Do you want to work in an environment where you will be responsible for supporting the Health and Safety Services department by providing administrative, clerical, and office management services? Our Whiteshell Laboratories (WL) location is looking for an Administrative Assistant to maintain an effective and efficient office operation by effectively interfacing with branch business, other company departments, and outside agencies. What will you be doing!

  • Preparing and organizing various health and safety-related materials with minimal instruction and guidance.
  • Promoting safety culture through site-wide messaging and displays.
  • Assisting departmental staff as required through preparing, processing, and formatting documents, forms, reports, spreadsheets and other correspondence.
  • Coordinating meetings, such as booking rooms, sending invites, and ordering catering.
  • Acting as assistant to the department by helping to organize their time, i.e., arranging travel, scheduling appointments, tracking employee leave, and maintaining MS Outlook calendars.
  • Purchasing office supplies, equipment and other operating materials for the department.
  • Completing general office duties, including typing, photocopying, maintaining office equipment, restocking supply cupboards, scanning, booking conference rooms and arranging catering.
  • Composing, formatting, and issuing correspondence, agendas, minutes of meetings, data, and presentation material.
  • Organizing special events.
  • Maintaining accurate office records and files, and follow-up system for outstanding issues.
  • Submitting expense reports.
  • Supporting the hiring process by working alongside Talent Acquisition to create and maintain all hiring documentation, booking interviews, conducting reference checks upon request, and assisting with the onboarding of new employees within the department.
  • Other duties as assigned by your manager.
What we are looking for:
  • Education
  • Secondary school graduate in Office/Business Administration or a similar field, or the equivalent in experience.
  • Experience
  • Minimum of two (2) years of related experience.
  • Experience with ATOM, Concur, Devonway, and Optec Displays would be an asset.
  • Knowledge, Skills & Abilities
  • Must display a safety first attitude.
  • Excellent interpersonal communication skills and proven ability to maintain successful working relations at all levels within the organization and with external stakeholders.
  • Ability to work independently without supervision.
  • Must be punctual and dependable.
  • Must be team oriented with demonstrated ability to work well with others and promote a positive work environment.
  • Must have sound knowledge of computers and the ability to understand, use, apply, and combine various software, such as the MS Office Suite (Word, Outlook, Excel, and PowerPoint).
  • Detail-oriented and conscientious about accuracy with the ability to meet deadlines.
  • Effective time management skills with the ability to adapt to a changing environment.
  • Ability to understand and navigate the use of shared document storage areas.
  • Working knowledge of office equipment such as laser and colour printers, FAX machines, photocopiers, scanners, and laminators.
  • Ability to learn new software and adapt to technical changes.
  • Must possess good knowledge of the correct usage, spelling, and punctuation and be experienced and proficient in editing and handling documents and presentations.
  • Familiarity with data filing practices, electronic and physical.
  • Ability to maintain and update databases, track, and gather data, and compile reports.
  • Ability to provide initiative and judgment to appropriately organize and maintain the flow of work and accuracy of records.
  • Ability to learn and understand the Canada Labour Code and Regulations.
  • Ability to learn and understand the Manitoba Health and Safety Act and Regulations.
  • Security Clearance Eligibility Required
  • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's Standard on Security Screening and the Policy on Government Security.
Working Conditions:
  • We have a compressed work week, which consists of a four-day work week and ten hours a day, starting at 6 am.
  • Must possess necessary physical agility to perform all aspects of the work (bending, lifting, sitting and extensive standing).
  • Must be capable of wearing and working in protective clothing.
  • Office environment work.
