This position is under the direct supervision of the Executive Director. The Administrative Assistant plays a vital role in supporting the smooth operation of daily office functions. This role involves a wide range of administrative and clerical duties including scheduling, data entry, document preparation, and internal communications. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities efficiently. Strong proficiency with technology and digital tools is essential, as this role frequently involves working with office software, cloud platforms, and communication systems.
Responsibilities:
Provide general administrative support to management and staff
Answer and direct phone calls, emails, and other correspondence
Schedule and coordinate meetings, appointments, and travel arrangements
Prepare, proofread, and format documents, reports, and presentations
Maintain digital and physical filing systems
Order office supplies and manage inventory
Support event planning and logistics for internal meetings or training sessions
Assist with invoice processing, expense tracking, and basic bookkeeping tasks
Greet visitors and handle front-desk reception duties as needed
Maintain confidentiality of sensitive information at all times
Other duties as assigned.
Qualifications:
High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset
Minimum 1-3 years of experience in an administrative or office support role
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Ability to work independently and as part of a team
Attention to detail and a high degree of accuracy
Knowledge of office equipment and systems (e.g., printers, scanners, video conferencing tools)
Have or willing to obtain CPR/First Aid, NVCI and other trainings as required.
Be able to work independently and/or as a team.
Must provide a clear Vulnerable Sector's Check
Must have a valid driver's license and reliable transportation.
