We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant for our executive office. This role requires exceptional administrative expertise, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Office Administration: executive office day-to-day administrative operations, including document management, correspondence, and maintaining office efficiency.
Process Improvement: Identify opportunities to enhance administrative systems, workflows, and organizational effectiveness.
Work with internal teams and departments as needed to support the completion of administrative duties
Executive Support: Provide high-level administrative assistance to the executive office, including managing schedules, preparing reports, and handling confidential information as needed.
Calendar & Meeting Coordination: Schedule, set up and organize meetings, appointments, and travel arrangements, ensuring seamless logistics as needed.
Expense & Budget Management: Process expense reports, track budgets, and ensure financial accuracy.
Confidentiality & Discretion: Handle sensitive information with professionalism, maintaining strict confidentiality at all times.
Qualifications & Skills:
Minimum of 3+ years of experience in an administrative assistant role.
Strong organizational and multitasking skills with a keen attention to detail.
Excellent written and verbal communication skills.
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
Ability to work independently, take initiative, and proactively solve problems.
Experience in budget tracking, expense reporting, and office operations.
Professional demeanor with the ability to interact effectively with executives and external stakeholders.
Strong time management skills and ability to adapt to changing priorities.
Team player with a positive and collaborative attitude.
