Position Overview
The Administrative Assistant will be responsible for managing office operations, coordinating executive calendars, organizing meetings, and providing ad-hoc administrative support across various departments. This individual will play a critical role in ensuring our workspace is well-maintained and equipped, supporting a productive and professional environment for all team members.
Roles and Responsibilities
Office Management:
Oversee the organization and maintenance of the office, ensuring a clean and welcoming environment.
Coordinate office cleaning services and manage relationships with external vendors (cleaners, maintenance, etc.).
Handle general office upkeep tasks, such as organizing recycling and waste disposal.
Ensure the office is well-stocked with snacks, beverages, and office supplies.
Executive Support:
Manage executive calendars, scheduling meetings, appointments, and travel as needed.
Organize internal and external meetings, including booking meeting rooms, preparing agendas, and arranging for necessary materials.
Assist with the preparation of presentations and documents for executive meetings.
Serve as a gatekeeper, managing correspondence and communications on behalf of the executive team.
Administrative Tasks:
If the executive team requests, provide general administrative support to the wider team, including document management, data entry, and file organization.
Assist in coordinating company-wide events, team meetings, and other functions as needed.
Support onboarding activities for new employees, ensuring a smooth integration into the office environment.
Handle ad-hoc tasks and projects as requested by the leadership team.
Qualifications
Proven experience as an administrative assistant, office manager, or executive assistant, preferably in a retail or fast-paced environment.
Exceptional organizational skills and attention to detail.
Ability to multitask and manage several priorities at once.
Strong communication skills, both written and verbal.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
Ability to maintain discretion and confidentiality.
Proactive problem solver with a positive, can-do attitude.

Pay: $50,000.00-$55,000.00 per year
