Administrative Assistant
Location: Toronto, ON M3B 0A4 (Hybrid)
Duration: 12 Months ContractPosition Summary:Admin Assistant provides support to the departments\' daily operations by handling tasks, including but not limited to managing schedules, organizing files, handling correspondence, facilitating communication between team members, preparing reports, presentations, organizing events and managing office supplies. Admin Assistant contributes to the efficiency of the office environment through administrative and clerical duties.Essential Functions / Key Areas of Responsibility

  • Provide day to day administrative support to their respective department/s to ensure effective and smooth operation. Responsible for handling tasks including but not limited to calendar & meeting mgt., event mgt., travel & expense mgt., procurement & logistics mgt. including invoicing, data management, office supplies requests, communication, etc.)
  • Provide onboarding (new hires) related duties: arranging desk (DOJ), requesting IT equipment & accessories, access to building & other portal access, communicating DOJ, providing admin-level briefing/training (e.g., desk booking tools, dept. repository, key portals, etc.) and providing building familiarization tour and introduction.
  • Support client interface mgt. and events such as customer visit and other requirements
  • Perform ad-hoc tasks and special assignments as required
  • Provide additional office mgt. tasks as per floor allocation: overseeing meeting rooms and printing areas, report and communicate issues and assist in resolving issues, etc.
  • Provide back-up/delegation support to other admin
Skills and Abilities:\xc2\xb7 Proficiency in MS tools/application\xc2\xb7 Strong organizational and communication skills (written and verbal)\xc2\xb7 Strong interpersonal skills\xc2\xb7 Attention to detail and ability to handle multiple tasks and work pressure\xc2\xb7 Problem-solving skills for addressing travel-related issues\xc2\xb7 Preferably with friendly and positive personalityEducation:\xe2\x97\x8f Bachelor or associate degree in the fields of office administration, business administration or related area.Schedule: Core Business Hours Monday-Friday, 40 hours per weekEEO Employer:
