Reporting to the Student Liaison Coordinator, the
Administrative Assistant
provides organizational and operational support to enhance the daily activities of the LINC (Language Instruction for Newcomers to Canada) ESL program.
Roles and Responsibilities:
Service Delivery Assist with the ANC client referral process, ensuring a seamless client experience
Manage multiple priorities and projects effectively, ensuring timely follow-through on tasks
Receive, screen, and direct inbound calls, emails, and visitors professionally and efficiently
Respond to internal and external requests and queries promptly and courteously
Liaise with the LINC management team to support internal operations and follow up on priority initiatives
Uphold confidentiality in all daily activities and interactions
Maintain and update LINC Events monthly reports for management use
Coordinate with the transportation team to enroll new ESL clients on ANC buses and resolve transportation-related issues
Perform general administrative duties as needed to support LINC operations
Data collection and reporting
Provide administrative and office management support to the LINC Office, including maintaining an organized filing and documentation system
Capture meeting notes, transcribe them, and follow up on actionable items
Assist in assessment administration, including scheduling, organizing, filing, and compiling relevant data
Community Outreach Participate in outreach efforts to promote ANC programs and engage the community
Professional Development Stay informed about settlement and integration trends, participating in training and networking to improve service delivery
Process Improvement Identify opportunities to enhance daily activities and recommend changes aligned with ANC's mission for more effective and supportive services
Qualifications and Experience:
Post-secondary degree or diploma in Office Administration, Business, or related discipline or any combination of education and experience 1 to 2 years of experience managing a busy office environment
Superior organizational and time management skills with great attention to detail
In-depth knowledge and experience with Google Suite (especially Google Sheets) and Microsoft Office is essential
Independent thinker; takes initiative in office management and coordination
Excellent written and verbal communication skills
Confidentiality is built into the incumbent's work ethics
Exceptional interpersonal skills and the ability to build strong working relationships within the organization and externally
Knowledge of additional languages other than English would be an asset
Experience in a non-profit environment would be an asset
Conditions of Employment:
Legal authorization to work in Canada
Flexible to work outside of LINC core hours (Monday-Friday, 8:30am - 4pm)
Position is subject to a satisfactory Criminal Record Screening and Vulnerable Sector Check from the Royal Newfoundland Constabulary
