The Canadian Wildlife Health Cooperative is a collection of highly qualified people within a cross-Canada network of partners and collaborators dedicated to wildlife health. Our Cooperative includes internationally renowned wildlife disease diagnosticians and researchers, experts in population health, skilled educators and experienced policy advisors. The CWHC is dedicated to generating knowledge needed to assess and manage wildlife health and working with others to ensure that knowledge gets use in a timely fashion.
At the core of the CWHC is a partnership linking Canada's five veterinary colleges and the British Columbia Animal Health Centre. Branching from that core is a network that stretches into the public and private sectors that allows us to access critical expertise needed to detect and assess wildlife health issues and make sure our results find their way to people who need to make decisions on wildlife management, wildlife use, public health and agriculture.
Primary Purpose:
The Administrative Assistant is responsible for the management of day-to-day issues and inquiries and assists with planning and support for strategic priorities. The Canadian Wildlife Health Cooperative is a large complex provincially distributed organization.
Nature of Work:
The Administrative Assistant will collaborate closely with the CWHC leadership team and other strategic partners. This role is essential for assisting with conducting evaluations of programs and facilitating continuous improvement initiatives. The work also requires a proactive self-directed approach in a complex, dynamic environment with the ability to work and communicate effectively and cooperatively, by a variety of methods. Work must consistently meet high standards of quality and precision. The department is led through a distributed model with sites throughout the country; as such, this position requires the ability to work effectively at a distance. As an important resource to staff, the incumbent must work effectively and collaboratively with a variety of contacts, both within the university and externally as required. This position requires strict attention to detail, discretion, confidentiality, a high level of integrity and independent judgement. The position must deal with emerging and unpredictable events in a sensitive and timely manner.
Typical Duties or Accountabilities:
Provide comprehensive administrative support across portfolios in collaboration with the National Office Director, including assistance to the Regional Directors.
Schedule various virtual and in-person meetings, using platforms such as Microsoft Teams, Google Meet, and Zoom, and prepare meeting materials, agendas, and minutes.
Assist with and support special projects and other duties as assigned by the CWHC leadership team.
Perform other related duties as required, including working outside normal hours and potential travel.
Manage and/or support program committees, ensuring effective communication and documentation.
As a member of the team, contribute to development and distribution of tailored messaging, including writing and editing communications such as reports, presentations, and correspondence.
Assist in monitoring the progress of projects through appropriate project management tools, tracking analytics, and integrating findings into planning processes and reports.
Collect, maintain, and report information to aid program evaluation and continuous improvement efforts.
Assist in the planning and development of guidelines, operational policies, and procedures for program support functions through relevant research and analysis.
Assist teams in assessing current states, envisioning future states, identifying gaps, and creating actionable plans for improvement.
Build and sustain relationships with relevant stakeholders.
Promote a culture of continuous improvement and support the adoption of best practices and innovative approaches.
Participates in management meetings as required, including scheduling, setting an agenda, minutes and follow-up actions.
Provides administration support to within the CWHC National Office, as well as coordination and support to - CWHC Regional Centres as needed
Provides general day-to-day administrative and financial support to the CWHC leadership team and staff across multiple functional areas.
Research and analyze information and compile data for statistical reporting and provide recommendations to the CEO for decision making.
Work in collaboration and coordination with other units across the CWHC by establishing and maintaining excellent working relationships with colleagues, including at the financial departments of the CWHC regional centres, Federal, Provincial, and Territorial agencies, and University of Saskatchewan.
Collaborate with the staff of all CWHC units to assist with identifying and implementing of the program management initiatives required to strategically meet the national objectives of CWHC.
Education:
Completion of an undergraduate degree in business administration, education, or health related discipline. A combination of education and experience may be considered.
Experience:
A minimum of five years related experience in an office setting and a demonstrated working knowledge of the University of Saskatchewan, is required. Experience working in a diverse and inclusive work environment is required. Proven ability to work independently and collaboratively in a high functioning confidential team environment with a demonstrated commitment to ongoing program development is an asset. Demonstrated experience in supervising teams is an asset. Experience fostering effective relationships with internal and external partners and stakeholders.
Skills:
This position will regularly interact with a diverse group of individuals including faculty, staff, and stakeholders. This position requires excellent interpersonal and communication skills and must pay close attention to detail, especially when maintaining records and sending correspondence. Demonstrated exceptional interpersonal, analytical, written and verbal communication skills; the ability to function in a high volume setting with numerous and competing demands and deadlines while maintaining a high degree of efficiency and accuracy; enthusiastic and self-motivated; ability to recognize and recommend change which results in improved administrative and educational activities; public relations skills; effective time management, organizational, problem solving, decision making and multitasking skills; proven ability to work with a courteous and professional demeanor, with limited general supervision and a strong orientation towards working with learners in a medical academic environment. Must be willing to travel. Consideration may be given to this position working geographically outside of Saskatoon but within Saskatchewan.
